Are you living your life’s work? Position Description Job Summary Responsible for coordinating efforts of the PMO. Maintain and modify toolkit needed for the successful management and delivery of services. Assist in facilitating meetings and identify areas of improvement. Primary responsibilities include Processes requests for projects and services, facilitates intake processes, demand forecasting, resource coordination, maintains documentation, generates reports for senior leadership, project manages smaller scale service projects and works with all IS Operations leadsmanagers. Also works with the ResourceFunctional Managers to assign appropriate resources and assist with fulfilling resource requests for existing projectsservices. Working with Team Leads and Managers to monitor and communicate progress to clients as necessary. Accountabilities bull MaintainsModifies Project Toolkit. Ensures appropriate documents are available for each phase of projectservices life cycle. Update and maintain documentation templates as required. bull Facilitates Intake Processes. Monitor and Control CSC-Request Management Queue. Process Action Requests from RM, Helpdesk, and other sources, appropriately. Review and prepare for intake meeting. Compile and Distribute results. Communicate status to end userrequestors. Follow up with assigned teams to ensure requests are being responded to. Process requests for IS equipment and physical space. bull Demand ForecastingResource Coordination. Works with staff to ensure appropriate work-effort forecasting. Communicates resource requirements with teams. Assists teams with updating internal forecasting documents to reflect resources needed. Utilizes UPHS systems to manage and coordinate resources. Maintains documents to track resource requests. Organize, distribute, and assemble documents as required. bull Administers SharePoint Project sites. Responsible for initial set up of all project sites. Responsible for maintaining and updating departmental site. Provide and update documentation as required to support the use of sites for managing projects. bull Training. Provide on boarding training to all newly hired staff. Ongoing training and support to methodology and processes. bull Performs duties in accordance with Penn Medicine and entity values, polices, and procedures bull Other duties as assigned to support the unit, department, entity, and health system organization Minimum Requirements Required Education and Experience bull Associates Degree required bull Bachelor’s Degree preferred bull 1+ years of experience in Information Systems or Healthcare required Required Skills and Abilities bull Strong written and communication skills ability to interact professionally with a diverse group of clients and staff required bull Demonstrated analytical skills required bull Demonstrated organizational skills required bull Ability to multi-task required bull Must be able to function as part of a team providing a high level of quality service to clients required bull Ability to read, write, and communicate skillfully required bull Ability to manage concurrent projects while meeting project deadlines required bull Ability to use Microsoft Office (Excel, Power Point, Word) preferred Additional Information As part of our COVID-19 response, this position may currently be offering partial or full remote work.
