Office Manager/Bookkeeper

COMPANY OVERVIEW:

California landscapes is a stable, growing Landscape Services company that has been in business for over 20 years. California Landscapes prides itself knowing each customer is our most important and delivering great landscape services to our customers.

We are looking for a hands-on, skilled, dependable individual, to add value to our company.

OPPORTUNITY:

A person, expert in bookkeeping (QuickBooks) and office management, who can work independently and as part of a team.

Manage day-to-day accounting aspects of operations, including partnerships with support groups. Ensure redundant processes in place, to back-up every critical operation.

Maintain existing, accounting/bookkeeping policies.

Determine ways to automate the accounting process without sacrificing accuracy, accountability.

Reports to General Manager/Founder.

Office Manager/Bookkeeper – DUTIES AND RESPONSIBILITIES

Office Assistant

Manage and direct administrative assistant to accomplish tasks as appropriate, listed below

Payroll – prepare for processing.

Accounts Payable and Accounts Receivable:

Pay / Enter invoices

Payment posting

Bank Deposits

Collections – communicate with Customers, to collect on delinquent invoices

Customer Payments – process and post.

Reports

Provide and analyze financial reporting as scheduled: P&L Pre Balance, Cash Flow Statement, Bank Reconciliation, Sale Logs, and internal accountability logs. Implement and monitor the month, quarter, and year-end closeout accounting schedules.

Accountability

Track budgets and expenses, Account Managers: Tracking Sheet, Improvement Log, Customer Log, and PO Log.

Taxes, Insurance, Licenses

Manage tax compliance as appropriate.

Manage financial statement audits with CPA.

Medical, Dental, Eye Insurances – renew.

Liability, Workman’s Compensation, Vehicle Insurances – renew.

Business Licenses – renew

Taxes – Property, Miscellaneous – Pay.

Customer, Certificate of Insurances – keep current, process as required.

Communication

Review, process, company emails, through day.

Answer phones.

Vendor Management

Manage Vendor compliance – insurances, licenses, tax information.

Information Technology

Manage IT Vendor ensuring systems are current and working.

Customer Information Management

1. Customers – Potential

Customer File – Set-up files, update existing information

New Sales Log, Tracking sheet – Add new listings, update with new customer information.

2. Customers – New, Reoccurring, Monthly Service

New Customer – Set-up files, and related administrative.

3. Customers – Current, Reoccurring, Monthly Service

Research/Resolve customer, administrative, issues, as appropriate.

Ensure proper documentation to track customer requests and inquiries.

Provide administrative assistance, as appropriate, to ensure smooth delivery of service to customers.

4. Customers – Improvement, one time sales

Process Improvement Sales – issue PO’s, list on improvement sales log.

5. Customers – Terminated

Reverse new account set up procedure.

6. Customers – Changes

Process Customer Changes in all information areas.

MISCELLANEOUS

QuickBooks Exporting/importing

Filing

Inventory Management – Tracking of Company Assets

Help develop and implement policies.

Motivate others, encouraging them to increase both productivity and work quality.

Other projects as required.

QUALIFICATIONS

Professional and friendly telephone manner.

Expert QuickBooks skills (AR/ AP/Bank Reconciliations, etc.).
HR experience.

Manage all aspects of office and bookkeeping.

Ability to work with all personality types.
Work quickly and efficiently.

Ability to work independently as well as part of a team.

REQUIRED SKILLS, EDUCATION AND EXPERIENCE

QuickBooks – Expert Knowledge.

Microsoft Office Product Knowledge (Excel, Word, PowerPoint).

Exceptional leadership abilities.

Accurate budgeting, financial forecasting and analysis skills required.

Minimum 3 years in office management/bookkeeping leadership role.

Bilingual (English / Spanish) a plus.

Details:

Full time

· Above-industry pay based on experience/education. Salary, Bonus. On Target Earnings $ (To Be Determined) annual.

· After 30 day probationary period: benefits include employer contribution to health and dental insurance, paid Holidays.

· After 1 year of employment: Paid time off, 401K plan and employer contribution, and upon approval, educational allowance.

Pay: $4,500.00 – $5,400.00 per month
