Position Summary:
AIAs Corporate Events team plans and executes high-quality events that maximize value for AIA member companies, strengthen the AIA brand, improve member experience, and ensure return on investment from the 20+ corporate events.
The Aerospace Industries Association is seeking a Corporate Events Manager.
The ideal candidate will be responsible for the coordination and support of all corporate level events and will report directly to the Vice President of Corporate Events.
This individual must demonstrate the ability to multi-task; be responsive to the needs of the membership, be exceptionally organized and be able to prioritize, with the flexibility to shift work and priorities, as needed.
Must be proactive, a creative thinker and a problem solver.
This is a full-time position located in Arlington, VA.
Core Duties and Responsibilities:
In-Person Event Management
Event Planning
Build and manage registration through Cvent, including onsite registrations, to assure accurate registration data, name badges, fee collection, attendee lists, counts for specific events and meals, etc.
Build and manage the CrowdCompass event app.
This includes the schedule/agenda, speaker bios, attendee list, alerts, etc.
Assist in the design, development, and execution of marketing and outreach strategies under the direction of the VP of Events
Continuously update the information of all corporate events on AIA’s website.
Mange the Food and Beverage selection
Determine Audio Visual needs
Reserve and manage conference transportation
Design and order signage
Work with speaker bureaus to secure speakers.
Manage and track speakers requirements, i.e., transportation, hotel room reservations, meals, AV, presentations, etc.
Design sponsorship prospectus and assist in sponsorship management, gathering logos, invoicing, creating sponsorship signage, etc.
Manage staff travel and per diem.
Monitor hotel room block for attendees and AIA staff
Pack event shipment
Onsite Event Logistics
Onsite logistics coordination between hotel, outside vendors, AV team, etc.
Unpack and organize shipment
Pre-conference set-up
Manage registration check-in and provide superior customer service to AIA members
Assist in management of all special activities held in conjunction with the conference including golf outings, spouse events, offsite dinners, etc.
Manage room set-ups for each day
Pack and organize shipment
Post Event Management
Create an online post-event survey to evaluate each meeting and event; gather and asses the results received
Provide follow-up to the events such as thank you letters to speakers, sponsors, vendors, and hotel staff
Review and process all event invoices in bill.com
Virtual Event Management
Manage webinars that are at Corporate Event level through virtual platforms, such as Zoom, WebEx, Teams.
Work with other teams to come up with a concept and flow of the webinar
Create a registration page with the appropriate membership target list
Create a marketing campaign for the virtual event
Create speaker slides for the event
Post event management: send out a thank you email with the virtual event presentation link and post event survey
Qualifications and Experience:
Experience Required
At least 4 years equivalent direct work experience in conference planning or special events
Excellent interpersonal, research, and communications (verbal and written) skills with a demonstrated ability to manage large corporate events.
Willing to take the lead and work directly on all levels of event implementation from registration to vendor management, from participant engagement to sponsorship management
Must be proactive, highly organized and detail oriented
Proficient in Microsoft Word and Excel; knowledge of Cvent and AMS Systems is a plus
Basic Adobe Photoshop/InDesign experience.
MailChimp, WordPress, Cvent, CrowdCompass, Zoom, Teams, WebEx experience a plus.
Ability to travel and availability to work evenings and weekends as needed
Education
· Bachelors Degree in an appropriate field or equivalent work experience
