Medical Office Manager

The ENT and Allergy Centers of Texas

This is a Contract position in Wyocena, WI posted July 29, 2021.

REPORTS TO: Practice Administrator LOCATION: Plano and Allen offices PAY: 50,000 POSITION SUMMARY: The Office Manager is responsible for managing all the day-to-day responsibilities for assigned practice locations.

ESSENTIAL POSITION FUNCTIONS: In order to provide efficient operations, quality patient care and patient satisfaction and meet regulatory requirements, the Office Manager performs the following duties: Ø Office Manager Duties:
– Assures delivery of exceptional customer service standards to our patients, physicians, and team members.

– Ensures that all policies and procedures are implemented to maintain and continuously improve existing operational practices.

– Identifies training needs for staff and provides or secures training for team members to strengthen the mix and level of skills within the team.

– Assures appropriate staffing is available for office operations.

– Provides appropriate orientation, training and support to new employees.

– Participates in the interviewing, selection and hiring of new staff.

– Motivates and develops staff providing a positive work environment.

– Administers performance appraisals and provides feedback to staff on overall performance and expectations.

– Communicates with HR any employee concerns and or changes.

Assures that new employee paperwork is returned to HR complete and timely.

– Assures that all patient demographics and insurance is entered into the computer timely and accurately.

Works closely with Billing to correct any problems or issues.

Assures that any requests from Billing are handled timely.

– Assures that charges and payments are posted daily and accurately and established end of day balancing protocols are followed.

– Manages employee time records.

– Updates or makes changes to the physician schedules upon requests and assures that patient appointments are rescheduled appropriately and staffing is available.

Communicates any physician schedule changes to the Audio department for appropriate scheduling.

– Hold staff meetings/huddles and keep staff informed about new policies and procedures, insurance information, memos, etc
– Audits charts and phone calls.

– Other duties deemed necessary
– Complies with all Federal and State HIPAA and OSHA guidelines
– Exhibits personal, professional accountability and code of conduct.

– Supports management goals and objectives Ø Other Supervisory Duties:
– Works to satisfy the expectations of the patient.

– Delivers results by setting and accomplishing key departmental and individual performance goals consistent with company Vision, Mission, and Core Values.

– Creates and performs in a high-performance environment characterized by positive leadership.

Leads by example.

– Motivates staff to improve quantity and quality of work performed and provides training and development opportunities as appropriate.

– Analyzes problems, identifies alternative solutions, projects consequences of proposed actions and implements recommendations in support of goals.

– Communicates clearly and concisely, both orally and in writing.

Office Manager
– Builds effective relationships resulting in cohesive, cooperative and communicative work force within the organization.

– Maintains strict confidentiality.

– Performs other duties as required.

POSITION REQUIREMENTS:
– High school education or G.E.D.

equivalent and/or Bachelors Degree.

– Three years operational characteristics, services and activities of a medical practice along with prior supervisory/management experience in a medical practice is preferred.

– Possesses the sense of discipline to work in accordance with accepted professional standards.

– Principle of supervision, training and performance evaluations
– Experience and knowledge of computer software applicable to the organization including MS Office applications.

– Comply with all regulatory requirements including OSHA, maintenance of clinical skills and certifications, etc.

– Capability of dealing tactfully and effectively with patients, family members, employees and physicians.

– Pertinent Federal, State and Local laws, codes and regulations.

WORKING ENVIRONMENT: 1.

Physical Demands: Walking, Squatting, Sitting, Bending, Reaching: Standing, Lifting (less than 25lbs.) Additional Physical Demands are:
• Ability to grasp with both hands; pinch with thumb or forefinger; turn with hand/arm; reach for (above shoulder height).

Office Manager May be required to assist physician in back office Ability to simultaneously operate clinical equipment and read gauges 2.

Visual, Hearing, Dexterity, and Mental Demands: Vision: Adequate to perform the essential functions of the job such entering data into the computer, reading small print on insurance cards, reading instrument gauges.

Hearing: Adequate to perform the essential functions of the job such as answering the telephones and scheduling appointments.

Speaking: Adequate to perform the essential functions of the job such as providing patient education regarding treatment plans/regimens.

Communicating to employees.

Dexterity: Adequate to perform the essential functions of the job such as preparing charts, assisting with dressing changes, veni
– puncture.

Mental Demands: Adequate to perform the essential functions of the job such as recording accurate patient histories and assisting with exams while coordinating other services.

Working Conditions: Position requires individual to be dressed in uniform or business casual 100% of time.; Exposure to hazardous materials.

These materials are primarily laboratory reagents and cleaning and disinfecting solutions.
