Executive Assistant

Riaz Capital

This is a Contract position in Garden Grove, CA posted July 27, 2021.

Our Company Riaz Capital is an Oakland, California based fully integrated development, investment, and asset management company, focused on addressing the changing housing needs of the millennial generation.

Our mission is that anyone who earns area median income can afford a place they would love to call home by building transit-oriented high-quality apartments at an affordable price point for our residents.

Our vertically integrated development firm has operated in the Bay Area since 1977.

Today, the Riaz Capital team manages over 1,500 units and has roughly 1,700 residences in the development or construction process, and possesses core competencies in development, construction, asset management, finance & capital markets to exercise control and speed of execution through every stage of the development cycle.

In addition to new construction development, the firm has extensive experience in repositioning both urban and suburban workforce housing properties, and has executed several adaptive reuse projects.

Our current activities are 70% new construction and 30% adaptive reuse and repositioning.

Today, Riaz Capital has $500 million in real estate assets under management and with our current development pipeline, should reach $1 billion by 2024/25.

Our core new construction design is a 300 /
– square foot studio that incorporates all of the necessary functions of a housing unit.

We have developed a design that works in a variety of building types: Townhouses, Mid-Rise Apartments, Substantial Rehab and Adaptive Reuse.

Our current design and mission is a result of a years-long synthesis of our experience from micro-units, student housing, traditional multi-family, and co-living.

Our units foster total privacy and security, which provides our residents with a sense of independence (and individuality) all within the fabric of a larger community.

Each of our projects has an emphasis on architectural creativity, unique design, walkability, utilization of open space and personal privacy.

Executive Assistant to the CEO As Executive Assistant to the CEO, you will be reporting to the CEO and working with the team on company operations while maintaining a high level of integrity related to sensitive content leveraged in critical company decisions.

As a close partner to the CEO, you will share in the management of critical relationships for the company, including but not limited to investors, civic leaders, and business colleagues.

You will help create, prepare, and maintain materials for internal and external use.

Additionally, during meetings, you will be responsible for note taking, distributing meeting notes, following up and scheduling additional meetings as needed.

Separately, you will be managing accounting and finance items which the CEO needs to address on a daily basis such as bill/wire approvals, and process maintenance.

This is an exciting opportunity as you will be exposed to all critical elements of the company that the CEO and Senior Managers deal with on a day-to-day basis and support the company’s core operations.

As Executive Assistant to the CEO, you will also be involved with a variety of Family Office Functions, such as bill pay and expense control and projects relating to the personal properties of the family.

Responsibilities and Duties Business Development Email – Support CEO in managing a highly sensitive, high-volume email inbox by drafting well-crafted and nuanced email communications in a strict timeline.

Serve as a “traffic cop” by passing incoming communication to relevant internal or external stakeholders along with necessary context.

Own Internal company communication on behalf of the CEO ensuring that thoughts and ideas matriculate to their appropriate departments.

Calendar – Coordinate meetings and events with various internal and external stakeholders and prepare materials for same.

Agendas – Prepare agendas in advance of meetings and distribute as appropriate to participants so that all participants are clear what is to be discussed during a particular meeting.

Notes – Take accurate and complete notes during meetings, asking for clarification as necessary during the meeting to ensure that all decisions are clearly documented with an explanation as to why and ensure all action items are clearly recorded with an assigned responsibility as an action item.

Also, it is important to clearly note action item deadlines.

If a participant in a meeting is unclear of when she or he can finish something, follow up and clarity may be required and properly documenting relevant updates is expected.

Post Meeting and Actions Items – Send action items and follow ups after meetings, and track completion of action items.

Remain in internal meetings or calls for an additional 5-15 mins to ensure the wrap up or actions items are clear so they can be distributed same day or no later than 24 hours after the meeting has occurred.

Project Management – Manage action items to completion and ensure they are finalized prior to CEO’s review.

To do List – Maintain consistent organized list for issues CEO needs to address and distribute action items as needed.

Internal Company Projects
– Work with the CEO on special projects to promote the business that do not fall into other departments or business areas.

Be the responsible party for assigned projects, owning the responsibilities, project management and reporting this entails.

Business Planning
– Draft, Update and Edit CEO strategy and leadership communications internally and externally.

Email Management – check email as needed when other members of the team are not available and proactively respond when appropriate and seek input from CEO on how to respond to other communications.

Pass communication responses to other team members when needed.

Investor Relations Investor Reports and Investor Requests – Assist in drafting investor reports for properties where the CEO is playing a very active role and answering investor questions.

Investor Presentation – Assist the CEO with investor meetings or tours and be familiar with company presentations and resources in the absence of other Business Development Team or Asset Management team members.

Investor Relations
– Collaborate with other team members to gather information and review analysis as necessary in regards to fundraising initiatives and responding to investor and other clients requests.

Family Office Expense Reports
– Close out monthly expenses reports and expense classification between Company, Family Office, and Personal to ensure all items are appropriately accounted for, billed back to the appropriate entity, person, project, initiative or accounting class.

Assist in managing the CEO’s personal finances coordinating with Accounting department as needed and reviewing expenses and personal budgets.

Draft Letter and Communications – Draft internal Letters and External Letters as needed.

Events
– When there are events involving the company assist with organizing, and managing the events when needed.

Travel – The CEO often must travel for work.

You will ensure that travel itineraries are prepared and that any mid-travel issues are resolved.

Qualifications
· Bachelor’s degree or equivalent experience
· Proficient in Microsoft Office suite
· Proficient in Google Suite
· Experience in managing multiple priorities, administrative coordination, and logistics
· Extremely well-organized, detail-oriented, ability to multi-task with great follow-up skills
· Strong written and verbal communication skills
· Ability to work well under pressure
· Superb typing skills
