Job Summary/Objective
The Trust Officer is responsible for the daily administration of trust accounts, building client relationships, and providing exceptional client service.
This person will work closely with our Consultants, Servicing Advisors and key client relationships in support of the Trust Agreement.
The individual must manage individual trust accounts, complete monthly and annual assessments, and work on the daily administration of accounts.
Essential Functions

Case management coordination: maintaining communication with case management team including Consultant, Servicing Advisor, and Attorney.
Manage and document regular client contact (written & verbal) as well as trust account information: documenting client phone calls, correspondence, and general account information through appropriate company reporting tools.
Responsive and proactive client contact: ensuring timely responses to client requests including reaching out to current clients in a proactive manner and exercising attention to an excellent client experience.
Oversee new accounts set-up: preparing client correspondence (such as welcome letters, support documents, incoming and outgoing correspondence, etc.) as well as ensuring timely review/approval of account set-up, completeness of client documentation, implementation of consistent and complete new account operating procedures.
Account documentation maintenance: establishing and updating all trust account documentation within our digital storage system as well as maintaining original trust vault documents and document log, where needed.
Investment oversight: reviewing on a regular basis 3rd party investment strategies (where applicable), along with corporate actions, to ensure that they are in line with the account’s defined investment approach.
Review daily reports/transactions: monitoring daily account activity through the trust platform systems, including tracking the transfer of assets into an account, monitoring principal and income balances for all trust accounts.
Payment submission/distributions: documenting every distribution for payment and submitting it through the proper workflow channels, including maintaining documentation of requests and approval of distributions.
Perform annual trust account reviews: reviewing newly opened accounts and ensure established accounts are reviewed on an annual basis, including performing regular cash flow analysis.
Account administration: administering trust accounts in accordance with the trust agreement and client specifications, acting as a personal representative of an estate, guardian of the assets of minors or incompetents under appointment of the court or agent under a custody agreement, safekeeping or investment management arrangement.
Real estate and other asset purchases/reviews: ensuring that proper steps are taken to purchase and maintain any real estate or other asset transactions.
Fee reviews: participating in the monthly review process of fee schedules and calculations.
Tax filing requirement: ensuring that appropriate tax documentation is prepared and provided for a trust account; and Trust knowledge: possessing and updating technical fiduciary knowledge in the areas of trusts, tax, fiduciary investing, regulation, compliance as well as having a focus on special needs and/or estate planning trusts.
Other duties as assigned.
Preferred Education and Experience
College Degree in related field or equivalent work experience.
5+ years’ experience in Trust Administration.
Juris Doctor with experience in the Special Needs Field.
Familiar with a variety of Trust concepts, practices and procedures.
Experience with SunGard Advantage or Fidelity IWS platform.

Minimum Qualifications (Knowledge, Skills, and Abilities)
College Degree in related field or equivalent work experience preferred.
Preference will be given to applicants with a J.D., CPA and/or CTFA.
Familiar with a variety of Trust concepts, practices and procedures preferred.
Ability to work in a team-based environment.
Knowledge and experience as a relationship manager in trust administration is a preferred.
Experience with SunGard Advantage or Fidelity IWS platforms is preferred.
