Who We Want: Student Assistant
– Gift Administration and Data Management ASU Enterprise Partners, a private, nonprofit organization comprised of five subsidiaries that raise, create and invest resources for Arizona State University, is seeking a student assistant to join our Gift Administration and Data Management team.
This position will serve as the student assistant for the Assistant Director of Gift Administration and Data Management with ASU Enterprise Partners.
Key duties include performing administrative tasks; database entry, paper and digital filing, copying, scanning, mailings and special projects.
Responsibilities may also include answering telephone/email inquiries and other duties as assigned.
This position will work 15-20 hours per week during the fall and spring semester with extended hours during the summer, spring and winter breaks.
What you’ll do: Provide excellent customer service Quality control review of gift/pledge documents Scanning and uploading confidential paper and digital documents utilizing SharePoint, Salesforce, scanning software, email and the JitBit Ticketing system.
Operate a multi-line phone system, receiving and screening calls, re-directing caller as appropriate Assist with projects as needed Other duties as needed to improve/support the department Maintain computer and/or hard-copy files containing confidential records in an organized manner to ensure the accurate and fast retrieval of information Handle data entry for tracking reports, benchmarking data, work logs, department needs and other duties as assigned What you’ll need: Collaborative style, combined with the ability and desire to work in a team-based environment Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone Ability to work both independently and as part of a team Attention to detail and thoroughness in completing assigned duties Highly organized and able to work efficiently on multiple projects with tight deadlines Knowledge of Excel, Microsoft Word, Outlook and PowerPoint Ability to quickly learn new software programs as needed Knowledge of departmental workflow process Problem solver who can take initiative and set priorities while being flexible Team-oriented strategist able to effectively manage complex situations involving numerous and sometimes competing constituencies Ability to represent the institution well An advocate’s belief in the vision of ASU as the New American University Attention to detail and thoroughness in completing assigned duties Adept at navigating complex environments with evolving priorities and communication plans Ability to maintain a high degree of confidentiality and responsibility regarding information related to Enterprise Partners, its subsidiaries, university business and confidential information Relevant qualifications: A current student at Arizona State University pursuing a degree in a related field with a willingness to learn and ability to work well with others.
Student must be willing to sign and abide by a confidentiality agreement.
Mental demands: Clarity of focus while juggling complex projects or deadlines.
Working conditions: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
May be required to perform tasks in the field within and/or across University campuses.
Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
This position currently requires you to work from the office Tuesdays, Wednesdays and Thursdays with Monday and Friday optional remote days.
