n n nn White’s Residential and Family Services nn JOB DESCRIPTION n n nn Job Title: Residential Office Assistant nn nn Department: Residential Servicesnn nn Employment Status: Full-time/Regular/Non-exemptnn nn Qualifications: A Christian with strong convictions who is also in agreement with White’s mission statement, Statement of Faith, and Code of Conduct.

This person must be 21 years of age and have a high school diploma or equivalent.

This person must have a pleasant personality and be able to work well with people both within the agency and external.

Must have good telephone, administrative, and computer skills (Windows, Microsoft Office, Excel and general computer skills).

Must have the ability to keep information confidential.nn nn Reports to: Program Directornn nn Job Summary: To portray a friendly, professional image in providing clerical services such as, but not limited to, residential youth files, faxing reports, banking and supporting Teaching Family Model (TFM).

Additionally, this individual will be responsible for assisting and supporting the Independent Living Services Coordinator, the Residential Documentation Manager, and Clinical Services Administrative Assistant.nn nn Basic Responsibilities nn nn Manage Documentation nn Track cottage documents Manage mailboxes in records room Support the VP and Executive Director of Residential in tasks as needed Create TFM binders for Training Manager as needed Track TFM Houseparent certification nn Managing Files in Client Database nn Organize and manage the Document Manager function in Kaleidacare (Kcare) Scan and upload documentation.

Make sure all required material is received so that master files are complete Manage and audit current student files Manage and upload cottage documents Maintain/Create DCS Audit reports nn Independent Living Services nn Manage banking process for youth : Set up, track and process new accounts with youth , educate youth on balancing checkbooks .

Upload NYTD reports into KidTraks Complete monthly allowance spreadsheet for Business office.

nn Supporting Residential Documentation Manager nn Transmit fax messages.

General understanding of processing reports to provide relief as needed Assist in sending out of drug screens as needed Assist in releasing process in Kcare as needed nn Backup for Clinical Services Administrative Assistant nn Assist with new student intakes Complete SPS and UCLA assessments Create Face Sheets Work through new admissions as needed.

nn Other nn Shred confidential material Help organize and plan various special events Serve as a resource person for departmental activities Perform other miscellaneous tasks as requested by the Program Director and VP and Executive Director of Residential and departments under their supervision.

nn Skills, Supervision, Knowledge, and Ability nn This position requires a person to be able to set priorities and organize workload while doing work for many people.

Must be flexible and able to multitask.

Must be dependable.

Must have good computer, administrative, writing, and proofreading skills.

Must be personable and able to work well with people both inside and outside the agency.

Must have the ability to keep information confidential.

Must be able to maintain professional boundaries and confidentiality.

Must be committed to the Mission, Core Values, and Vision of White’s Residential and Family Services.

nn Physical Demands of Position nn Must be able to tolerate heavy typing load with many interruptions.

Must be able to sit for long periods of time.

Must be able to go up and down stairs.

Must be able to move charts nn Working Conditions nn Normal work days will be Monday through Friday from 8:00 to 4:30 with optional one hour for lunch.

Must attend work regularly and be on time.
