The unique alternative delivery approach, a Public-Private Partnership will provide the right person the opportunity to be an active contributor to this most unique and visible project.The Senior Administrative Specialist will:+ Work under the direction and mentorship of the P3 Program Manager+ Develop, Implement and Lead Administrative efforts for the P3 Program Office+ Provide direct contribution to the daily administrative management of Program.+ Serve as lead administrative team member for Program OfficeIn this role, you’ll serve as the initial point of contact and representative for staff, clients and visitors who enter the P3 Program Office. Additionally, the Office Administration role will include management of the day to day requirements for maintaining a functional workspace for the P3 Team which will:+ Serve as Jacobs P3 Team coordinator for Program Office Administrative Items+ Serve as Office Receptionist for P3 Office+ Provide office management tasks including but not limited to conference room scheduling, procurement of office supplies, fleet vehicle management, meeting planning and scheduling, mail distribution and filing, facility owner coordination+ Manage P3 Team Company Fleet Vehicle pool. This will include assigning vehicles, tracking fuel expenditures, monitoring vehicle condition, scheduling and coordinating vehicle maintenance and coordination with Company fleet Coordinator as requiredYou’ll also serve as the Senior Administrative Assistant to the P3 Program Manager where you’ll:+ Provide administrative duties including typing, filing, scheduling for the P3 Manager and other P3 Management Team members+ Attend Meetings with P3 Team, Client and Developer preparing agendas, distributing invites, maintaining attendance rosters taking meeting minutes, compiling meeting minutes, distributing and filing final versions of meeting documents+ Prepare, distribute, and manage invitations to meetings and other events+ Coordinate planning and procurement of services and venues for meetings and other events in support of the P3 Program+ Maintain project files in hard-copy and electronic retention systems as required.+ Assist project teams with the timely retrieval of documents and assembly requirements of internal and external audits.+ Support development and delivery of reports, presentations and correspondence, coordinate production, schedule and coordination of support services including graphics, editing and reproduction.**Here’s What You’ll Need:**+ 10 plus years’ experience in an Engineering Design, Construction or Contractor Environment as a team member for major infrastructure projects in excess of $100M USD focused on Administrative components of delivery during Construction phase.+ Extensive experience with Microsoft Office Suite of tools, including, Word, Excel, PowerPoint, Access.+ Experience with Sharepoint and ACONEX+ Experience serving in the role of Office/Facility Manager+ Well versed in Construction operations+ Comfortable operating independently in a fast pace, schedule driven environmentJacobs is an Equal Opportunity/Affirmative Action Employer.
