Job Summary.
The Meeting & Event Specialist is responsible for the execution and support of successful meetings and events.
This position will be responsible for the tasks related to meeting/event planning, such as preparing timelines, managing budgets, completing meeting preparation checklists, overseeing attendee management, keeping internal and external clients on task as well as overseeing onsite event execution and providing post meeting deliverables..
Responsibilities.
Conduct venue site searches, sourcing, negotiations and provides recommendations with ability to influence decision makers on hotel or meeting venue selection;.
Identify budget and contract issues and propose solutions;.
Maintain effective and efficient communication;.
Create and maintain project timelines, and ensure outside parties are held responsible for meeting deadlines;.
Oversee registrations and follow-up with attendees;.
Coordinate logistics and event execution with various outside vendors;.
Prepare presentation materials, reports, and conduct or designate the responsibility of required quality checks;.
Travel onsite to meetings, greeting guests and attending the hospitality desk during meetings, resolving issues related to hotel, flight, and other travel needs; and.
May be responsible for other projects and responsibilities as assigned..
Qualifications.
Bachelor’s degree in Hospitality/Project Management or related field;.
Some experience in planning, scheduling, and executing events;.
Effective time management skills, with a strong ability to manage multiple projects and timetables; and.
Computer literacy and knowledge of Microsoft Office products (e.g., Word, Excel, Power Point)..
Ability to travel 30% of the time, sometimes weekends..
