About the Role: We are searching for an experienced Executive Assistant who thrives in the fast-paced start-up environment, possesses a track record of success supporting multiple executives, and would like to join CreateMe as we start to grow our business rapidly. You will primarily provide full executive support for and report to our SVP and VP of Hardware Engineering based in San Francisco (plus light support for our Sr Director of Hardware Engineering), and provide light support for our Chief Product Officer and VP of Automation based in Washington State. We are hitting a growth milestone, and you will define this early West Coast executive support role, and potentially grow the role and team along with the needs of the organization. You will primarily work in the San Francisco R&D lab in the Dogpatch neighborhood, with some remote work flexibility, and potential travel. You will be part of a team that includes our Executive Assistant in NYC and our Chief of Staff, and some of your key partners will include the People Team and Office Management Team. A top candidate will have worked with a mix of leaders across industries, some of whom will have EA support for the first time. You’re not afraid to teach best practices, develop best and most effective work patterns for each of your execs, and work in a friendly but firm manner with internal and external partners as you manage our executives’ schedules. We’re looking for a partner who has the mentality that there’s no task too small for you, but knows how to delegate and lead effectively. You’re proactive and seek to understand how our business works, how we can better partner and support our employees, and are always thinking about how we can improve employee experience. If you’re an experienced EA who expertly flows between support for multiple executives, and you love being a foundational team member who makes our workplace and experience unique, fun, and inclusive for all, we would love to meet you Additional Responsibilities: Support to SVP and VP of Hardware Engineering: Calendar Management and ensuring schedule is running smoothly Coordinate and manage all domestic travel, including flights, ground transportation, accommodations Prepare agendas for internal and external meetings Prepare confidential written materials for meetings, calls, presentations, etc. Support to Chief Product Officer, VP of Automation, and Sr Director of Hardware Engineering: Calendar Management and ensuring schedule is running smoothly Coordinate and manage all domestic travel, including flights, ground transportation, accommodations General Support: Provide travel and project support to office staff as needed Assist People Team, Office Management Team, and planning committees with team gatherings Serve as occasional onsite back-up support for our Office Management Team Requirements: 5 years of experience in an administrative/executive support role BA/BS degree preferred Excellent written and verbal communication skills High degree of maturity, professionalism, discretion and confidentiality in all matters Proficient with Google Suite, MS Office Suite, and Mac or Windows OS Proven ability to juggle multiple tasks and deadlines in a fast-paced environment Superior time-management and organizational skills High emotional intelligence, and enjoys relationship building, crafting organizational communications, negotiation and conflict resolution skills Positive energy, approachable, excellent sense of humor Preferred Requirements: Prior experience in a hardware engineering firm Prior experience and interest in the apparel industry Working at CreateMe: Be rewarded for your innovation through our Inventor Award and Recognition program Save for the future with our 401(k) program match Stay healthy and happy through our comprehensive medical, dental and vision insurance Take time away from the office through our Flexible Paid Time Off Be a part of a community and take part in our lunch’n learns and team outings Learn and grow through formal and informal learning opportunities At CreateMe Technologies, we value diversity and treat all employees and job applicants based on merit, qualifications, competence, and talent.
