Job Number: 498252 Executive Assistant Our Client in Chicago, IL is currently seeking an Executive Assistant to join their growing healthcare organization.
Pay: $40/hr.
Hours: 8:00 a.m.
– 5:00 p.m.
Location: Chicago, IL (Onsite) Responsibilities : Play a major role in assisting the Associate Director with development and monitoring of the division-wide budget, including distribution of financial reports, development of division-wide tracking and variance reports, follow-up with senior staff, and resolution of issues.
The individual also provides administrative support for specific administrative personnel actions.
The incumbent tracks completion of various division-wide projects on behalf of the Associate Director.
Assist with division-wide functions relating to senior staff, such as time sheet issues, contracts, and travel expense reimbursements.
Review various documents submitted by staff and surgeon volunteers to ensure completeness and accuracy.
Resolve questions prior to review by Associate Director.
Provide administrative support to the Regental Committee on Ethics and the spectrum of educational programs and products developed by the Committee.
The incumbent is also responsible for providing administrative support for the ACS policy statements developed by the Committee.
Organize and streamline activities of a busy office.
Prioritize various activities with considerable independence.
Maintain an accurate schedule of meetings, conference calls, and events, including timely provision of all necessary agenda and content materials prior to the events.
Negotiate time frames and locations as needed.
Make all arrangements for outside meetings, including travel arrangements, registration materials, use of credit cards, preparation of check requests, and all meeting agenda books, slides, and materials.
Provide principal backup for the Executive Associate of the Director of the Division of Education as necessary, especially when staff members are out of the office.
Complete other projects as assigned, such as specific tasks working with outside vendors, surgeon volunteers, or other organizations.
Other duties as assigned.
Requirements : Bachelor’s degree required.
Minimum of 6 years of professional experience providing executive-level administrative support is required.
Experience in the healthcare industry is a plus but not required.
Microsoft proficiency required including Outlook, Word, and Excel.
Excellent verbal and written communication skills.
Ability to multi-task, and work in a fast-paced environment.
Attention to detail and organizational skills.
Self-motivated and able to work independently and as a member of the team.
