Job Title
: Executive Assistant
Classification: Regular, full-time (1.0 FTE), Exempt
Reports To: Chief Executive Officer (CEO)
Due to COVID-19 this role is currently working remotely, with some in-office work required.

Once the Seattle Metropolitan Chamber of Commerce office reopens, this role will have full-time onsite responsibilities in downtown Seattle.**

Position Summary
:
The Executive Assistant serves as the primary point of contact for internal and external stakeholders for the President & CEO of the Seattle Metropolitan Chamber of Commerce.

The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach, as well as manages the complex scheduling needs of the President & CEO.

The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations including the ability to serve as gatekeeper, with strong written and verbal communication, administrative, and organizational skills, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

The ideal candidate would have some working knowledge of local and regional politics and has demonstrated project management skills and experience working with high level business executives and local elected officials.

This role will be a critical liaison to other key areas of the organization, requiring a high level of attention to detail and professionalism, as well as the ability to be a flexible problem solver.
Critical Job Functions
The following describe the critical functions of the role, but do not provide an extensive list of job responsibilities and duties.
Executive Support
Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents.

Plans, coordinates, and ensures the CEO’s schedule is followed and respected.

Plays a “gatekeeper” role, creating win-win situations.

Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.

Determines appropriate course of action, referral, or response.

Provides a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.

Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated.

Successfully completes critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, scheduling meetings, and other tasks that facilitate the CEO’s ability to effectively lead the company.

Prioritizes conflicting needs; proactively handles matters in a timely manner and follows-through on projects to successful completion, often with deadline pressures.

Assists in coordinating the agenda of senior management team meetings and off-sites, and all-staff meetings.

Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships.
Board Support and Liaison
Serves as the CEO’s administrative liaison to Seattle Metropolitan Chamber of Commerce’s Board of Directors.

Provides logistical support (scheduling, communications, catering) for board meetings in conjunction with internal staff Maintains discretion and confidentiality in relationships with all board members.

Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.

Provides staffing for the Board’s Equity Committee, formed in support of the Chamber’s Anti-Racism Pledge.

Manages the annual conflict of interest process.

Skills
And Qualifications
Strong organizational skills that reflect ability to balance competing demands while performing and prioritizing multiple tasks seamlessly with excellent attention to detail.

Administrative experience that includes managing an executive’s schedule and a proven ability to handle confidential information with discretion; experience working with a Board of Directors preferred.

Very strong interpersonal and customer/client service skills with the ability to build relationships with and support stakeholders, including staff, board members, external partners, and elected officials.

Highly resourceful team-player, with the ability to also be extremely effective independently.

Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

Forward-looking and self-directed thinker, who actively seeks opportunities and proposes solutions.

The range for this position $55,000
– $80,000.
