POSITION SUMMARY: Cassaday & Company, Inc.
is seeking candidates for multiple Executive Assistant positions.
Both permanent, full-time positions and short-term contract positions are available.
In this position, you will be responsible for supporting C-Suite level executives by coordinating and confirming their busy schedules, email inbox management, calendar management, drafting and proof-reading correspondence, internal and external correspondence, and maintaining the firm?s reputation for outstanding, high-level service.
The successful candidate will be a team player, thrive in a fast-paced environment, have fastidious attention to detail and exceptional written & verbal communication, and be a self-starter with strong administrative and organizational skills.
These positions report directly to executive leadership, with room for growth and advancement.

RESPONSIBILITIES: 1.
Email inbox management for Principals a.
Process all client requests and incoming correspondence from the Principal?s inbox and distribute to the appropriate Associate Advisor (AA).
i.
Forwarding emails to AA ii.
Create Client Relationship Management (CRM) System task created for AA iii.
Run action items for AA b.
Organize & move emails to appropriate folders.
c.
Kick-off client prospect tasks in CRM system d.
Tack and prioritize client-related CRM tasks (from tasks/emails that fall within defined categories) 2.
Confirm Principals?
appointments via email or telephone.
3.
Set and follow up on prospect and client meetings (except Client Review meetings scheduled by FP Administrator).
a.
Confirm Data Gathering Interviews (DGIs) and 2nd Meetings.
b.
Schedule and confirm Principals?
calls with clients and prospects.
4.
Ensure Principals have presentation materials and most up-to-date client information prior to calls and meetings.
a.
Work seamlessly with AAs to ensure accurate and professional materials are provided to clients.
b.
Act as backup to AAs to set up and clean up meeting room before/after client/prospect meetings.
5.
Track data collected/requested by AAs for DGIs, 2nd Meetings, and Client Reviews.
Alert AAs of status within established timeframe.
6.
Assist AAs with Client Review final packet development.
7.
Monitor AAs Consolidated Dashboard in CRM; follow up with AAs and internal staff to ensure tasks are completed.
8.
Run Outstanding Tasks Report for each AA and follow up to ensure tasks are completed.
a.
If necessary, meet weekly with AA group to review report.
9.
Generate or edit outgoing correspondence for clients/prospects as requested.
10.
Monitor outstanding tasks after Client Review Meetings and work with AAs to ensure completion.
a.
Run Open Leads Report for each Principal and review weekly with AAs.
b.
Run Onboarding/Tasks Summary Report and send to AAs & Principals.
i.
Update FP Onboarding/Tasks by Planner weekly by collecting data from CRM and getting AAs to review for accuracy.
c.
Run Pipeline Report that shows DGI & 2nd Meetings coming up to track capacity and forecast workload.
11.
Back up Reception position as requested.
12.
Perform other office-wide tasks as requested.
QUALIFICATIONS: * Bachelor?s degree (BA)* 3+ years?
experience working with C-Suite executives in a demanding, high-pressure environment managing multiple calendars.* Experience in the wealth management industry a plus.* Prior experience managing multiple email inboxes and task management for busy executives.* Exceptional written and verbal communication skills.* Proficiency in Microsoft Suite tools (Outlook, Excel, Word, and PowerPoint).* Demonstrates impeccable work quality, holding oneself to the highest standards of excellence, accuracy, and thoroughness.* Self-starter with strong administrative and organizational skills.
