The Education Programs Specialist is primarily responsible for supporting the Education Programs Manager in all aspects of the development and delivery of ASH’s small continuing medical education (CME) programs offered in various delivery formats including hybrid and in-person meetings.
The Education Programs Specialist also assists the CME Manager with selected tasks associated with maintaining ASH’s compliance with the Accreditation Council for Continuing Medical Education (ACCME) criteria.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties that occupy a major portion of time and importance in the job)
CME Education Program Management
Working with the Education Programs Manager, serves as project support for ASH’s CME programs and other educational meetings in the U.S.
and internationally.
Coordinates the design and development of education content with subject matter experts responsible for educational meetings from the coordination of the conference call and planning meetings to managing the oversight of internal processes for program approval.
Coordinates the speaker invitation process and tracks required speaker participation agreement forms (e.g., conflict of interest; speaker guide; copyright license)
Oversees speaker presentation development process, including the coordination of learning materials and oversees the production of subsequent mobile applications, websites, and enduring learning materials.
For in person meetings, assembles and ships program materials including badges, registration rosters, display materials, and other related program items to meeting.
Travels to offsite meetings (including the Consultative Hematology Course, Highlights of ASH, Meeting on Hematologic Malignancies, ASH Annual Meeting, and others) and oversees multiple aspects of onsite programs and logistics
Completes other related program follow-up tasks including processing thank-you letters to program speakers and co-chairs, creating the speaker expense and honorarium tracking file; updating the speaker participation database, and preparing drafts of final reports.
Oversees program evaluation in ASH Academy on Demand for CME educational programs including the development of online evaluation forms and meeting surveys; assists in compilation, summary, and interpretation of data.
Independent Medical Education Grants
Collaborates with the Director of Education to develop project budgets and monitor revenues and expenses in relation to project budgets.
Education Programs Specialist will also be responsible for reviewing and contributing to the industry support proposal process.
Primarily responsible for maintaining accurate budget review and reporting for each grant.
Provides summary reports to Director of Education, for purposes of forecasting and reconciliation.
Coordinates the execution of IME grants by confirming expert observers and securing their reports.
Manages the relationships with various IME grant vendors by overseeing the speaker management process and participating in regular collaborator meetings.
ASH Academy On Demand (ASH’s Learning Management System)
Serves as the department ASH Academy Ambassador for CME educational programs as it relates to the learning management system (LMS).
The specialist will manage the process for requesting new programs to be hosted on the LMS.
The specialist will work with the LMS administrator to ensure the proper functioning of the site and the implementation of needed improvements for CME eligible educational programs.
ACCME Compliance
Assists the CME Manager with overall ACCME compliance by providing support to ASH CME-approved programs with regard to ACCME-related requirements (e.g.
tracking COI forms; developing and summarizing program evaluations; ensuring implementation of COI policies and procedures)
Respond to member inquires to the CME inbox.
Governance and Committee Support, and Other Responsibilities
Working with the Director and Education Programs Manager, supports related ASH standing committees, subcommittees, and task forces as requested including development of agendas and composition of meeting minutes
Collaborates with other staff to develop and implement marketing plans for all educational programs
Reviews marketing materials and web pages covering ASH educational projects to ensure that they are current and complete.
Participates in events scheduled during evening and weekend hours, especially during high-volume meeting periods (December-February).
Other duties as assigned.
QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED (Minimum education and experience needed to perform the job adequately)
Bachelor’s degree required.
A minimum of three year’s experience in association meeting planning, preferably CME programs.
Familiarity with the ACCME criteria for the development and delivery of CME programs desired.
Proficiency with MS Office applications (Word, Excel) and Internet required.
Experience with association management and learning management systems highly desirable.
Strong written and oral communication skills.
Must be able to handle multiple tasks in an active work environment.
Detail-oriented, with excellent organizational and follow-through skills.
Strong interpersonal skills including professionalism and ability to work well with ASH staff and ASH leadership.
Strong member service orientation.
Foreign language skills (especially Spanish) highly desirable.
Ability to travel (both domestically and internationally) and flexibility in work hours required, especially during high-volume meeting periods.
