PURPOSE OF THE POSITION
This position is the general administrator over the company’s contract lifecycle management (CLM) system and also provides general administrative support on various legal tasks and processes for the Office of the General Counsel (OGC) as a paralegal.
ESSENTIAL POSITION RESPONSIBILITIES
Oversees administration of enterprise-wide contract lifecycle management system.
Reviews and catalogs all signed contracts to ensure compliance with the company’s contract management procedures.
Inputs contracts into the CLM system.
Administers security profile setup, system support, and training for company system users.
Monitors contract expiration dates (among other KPIs) and designs reports to support internal client goals under the direction of OGC attorneys.
Provides general paralegal support to the Office of General Counsel.
Follows established procedures and guidelines of the legal profession to provide timely and effective support to OGC attorneys.
Assists in the creation and support of key legal policies, processes and procedures as directed by OGC.
Organizes and expedites flow of work, ensuring OGC attorneys have access to information, correspondence and documents as needed.
Demonstrates an understanding of technical legal terminology and a knowledge of document formats of a legal nature such as contracts, briefs, summonses, complaints, and motions.
Assists in the administration of all OGC programs to ensure that organizational legal matters are managed properly, efficiently and that the relevant clients are given the proper advice and guidance as directed by OGC attorneys.
Maintains discretion and confidentiality as appropriate.
Assists with all aspects of the administration of contracts in a timely manner.
Provides redlined recommendations to OGC attorneys.
Maintains records and documentation on contract deliverables.
Assists in litigation preparation, including but not limited to file preparation, document review, scheduling and arranging for the taking of depositions, mediation or arbitration and attending such events as directed by OGC.
Communicates with internal departments concerning legal matters.
Provides a bridge for smooth communication between internal departments and legal counsel, both internal and external.
Gathers information as directed by OGC and assists OGC employees with procedural compliance; answers questions and addresses issues.
Builds relationships crucial to the success of the organization.
Demonstrates leadership to maintain credibility, trust and support with the organization.
Participates as a member of the Team.
Participates in the ongoing development, communication and implementation of team concepts, programs and policies; coordinates work to ensure best practices with all team members.
Attends appropriate team meetings.
As a member of the Team, fosters strong cohesiveness regarding all major issues; e.g., direction, annual plan, budget, policy changes, etc.
Accepts responsibility to quickly identify any areas that lack cohesiveness, bringing them to the attention of the team leader and working with the team in a supportive manner to resolve issues and actively look for ways, and reinforce actions needed, to achieve synergies possible within the larger organization.
Will attend continuing education and development training from time to time as needed and approved by the General Counsel.
Simmons Operating systems principles and objectives: Is familiar with Simmons’ established operating systems (e.g.
quality, security, office environment, company policies, Continuous Improvement and LEAN); understands the responsibility to maintain familiarity with the systems and this position’s role in support of these systems
– including a consideration of the impact of individual actions on the systems and the responsibility to communicate concerns and improvement ideas.

Physical Activities: Enters and locates information on a computer.
Visually verifies information, often in small print.

Communicates with Customers, Vendors, or Employees via telephone, in person, and/or electronic mail.
Move about in an office environment and surrounding property daily.
Personal Protective Equipment (PPE): Face mask/shields may be required in office settings.
Additional PPE as required by facility.
Travel: Travels within North America to and from multiple facilities or work-sites, infrequently requiring overnight stays.
Technical Experience: 2 years’ experience as paralegal/contract administrator or related field.
Experience with contract lifecycle management systems (such as Agiloft).
Experience working in a corporate legal environment/department or law firm.
High degree of professional judgment; ability to generate trust and retain confidentiality.
Must have strong organizational skills.
Must have an understanding of technical legal terminology and a knowledge of legal documentation.
Knowledge and working familiarity with the following computer applications: Microsoft Word, Excel, PowerPoint, Gmail, and G-Suite applications.
Industry Experience: Preference for manufacturing or food processing organization.
Law firm experience also acceptable.
Minimum Education: Bachelor’s Degree or 4 years equivalent experience.
Preferred Qualifications: Paralegal degree and/or paralegal certification.
