RoleProvide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organizationThe Executive Assistant will provide high-level administrative support to the Chief Executive Officer, the Board of Directors, the Chief Financial Officer, the Corporate Secretary and the law department. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This position is located in Topeka, Kansas and flexible work hours are available at times.Essential Duties & ResponsibilitiesProvides administrative support to executive which includes mail distribution, directing customers to appropriate personnel or responding to customers in person or via telephone. Scheduling appointments, group meetings, and travel arrangements.Composes or prepares correspondence. Compiles data and prepares various reports.Is cross-trained in other areas within the division/department in order to provide back-up for other staff members during peak periods, employee absences and staffing emergencies.In absence of supervisor, determines approach or action to take in non-routine situations based on knowledge of officer’s habits and preferences, as well as applicable policies and procedures.Assists Bank customers with all questions and inquiries; recommends and sells Bank products to meet customers’ financial needs.Perform other duties as assigned.Participate in proactive team efforts to achieve departmental and company goals.Must comply with current applicable laws, regulations and bank policies and procedures. Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.RequirementsAdvanced PC skills including word processing, spreadsheet and database applications.A significant level of trust and diplomacy is required to be an effective subject matter expert in the position. In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors of a sensitive and/or highly confidential nature is a normal part of the day-to-day experience. Communications can involve motivating, influencing, educating and/or advising others on matters of significance.
