JOB SUMMARY: Provides comprehensive administrative and clerical tasks in support of department.

 

JOB DUTIES:

  1. Compiles, prepares and disseminates correspondence, reports, files, and various other data. Maintains statistical information as required, scheduled or requested.
  2. Prepares mailings, proposals and other clerical duties. Maintains mailing list, conducts searches as deemed needed by department, and maintains communication with program staff and clients.
  3. Arranges for meetings, sending notification, tracking attendance, etc.
  4. Maintains files for department, ensuring consistency of data as assigned.
  5. Receiving incoming calls and provides general information in a courteous and professional manner, directs callers to appropriate person, takes complete and accurate messages when necessary, greets visitors as needed.
  6. May provide intake and answer initial questions for program staff.
  7. Performs department specific duties as assigned including but not limited to calendars, contact liaison, billing and paperwork, fingerprinting, surveys, etc.
  8. Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients.
  9. Performs other duties as assigned.

Job Requirements:

JOB REQUIREMENTS:

  1. Education /Background:  Minimum of High School or equivalent degree. 3 years clerical/secretarial experience required. Bilingual preferred
  2. Job Knowledge:  Must have knowledge of administrative and clerical procedures, must be fluent in Microsoft Office Suite. Must have good communication skills and ability to handle multiple tasks and work independently.
  3. Working Conditions/Physical Demands:  Must be able to stoop, bend, squat, sit on floor and ambulate over uneven floor surfaces including stairs and steps. Must be able to visually and auditory assess and interact with clients to ensure their safety and wellbeing. May lift up to 25 pounds. Extensive keyboard and data entry. Travel within the state may be required. In some departments, evening and weekend work may be required.
  4. Other requirements: 
    1. Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
    2. You must be 21 years of age or older to drive on behalf of Catholic Charities.
    3. Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance. 

Hourly rate $14.64-$17.57 depending on experience.
