Job Description: We are searching for a sharp, file clerk/office assistant to become an important part of our team. This is a part-time job, but we are rapidly growing, and there is likely room for growth for the right candidate if this is something that you desire.

Our office is located in a renovated house in Duxbury a few doors off of Route 3. We are open typical business hours, and the bulk of your work hours will be within that time frame; although we can be flexible with hours, and we recognize the need for flexibility in the workplace. While some work may be able to be done remotely, the majority of work is based in our office, as it involves working with hard copy files, secure cloud-based files, and staffing the office.

While this job is intellectually stimulating and involves a high degree of problem-solving and creating new systems, we also need someone who is willing to make our clients comfortable and takes pride in the office running smoothly. That might involve: making a pot of coffee for our clients, keeping the space neat, organized, and welcoming, or running errands for the office staff. This job is perfect for someone who enjoys the balance of intellectually stimulating work part of the time, and less intellectually rigorous work to balance their days, weeks, and hours.

Responsibilities:

  • Maintain our filing system and organize hard copy and electronic records, such as letters, legal documents, case files, correspondence, invoices, and memoranda according to the processes in place. The goal is to preserve, organize, and make accessible to our clients and attorneys the firm’s records and manage paperwork effectively.
  • Assist us in improving our records and file system. We value a problem-solver’s input and we are in search of someone who is eager to improve systems for a growing firm.
  • Support the Client Service Specialist and attorneys as it relates to client files, office management, and following up with clients and prospects.
  • Answer phones and communicate with clients in a professional and friendly manner.
  • Provide excellent customer service and a welcoming environment for our clients: maintain an organized, neat, and tidy office, and a friendly and welcoming environment.

Qualifications/Experience:

  • Experience in a client-center office preferred;
  • Understanding of customer service and serving clients;
  • Comfortable talking on the phone and speaking with clients face-to-face;
  • Very comfortable and skilled on the computer;
  • Comfortable learning and using computer software systems is a must;
  • Strong Microsoft Word, Excel, and PowerPoint skills;
  • Experience with Box, Smartvault, and Adobe is a plus, but if you have experience with other cloud-based software systems and are comfortable learning new programs, we will happily train you.
  • Strong attention to detail and well-organized – very, very detailed oriented.
  • Strong understanding of confidentiality and data
  • Independent worker who likes to solve problems and is able to balance a variety of responsibilities

Job Type: Part-time

Pay: $18.00 – $20.00 per year

Work Location: One location
