Job Description:
Position would be hybrid (must be close to location to come in and work 2-3 days a week)
Associates degree is accepted, Bachelor’s degree preferred
Project Mgmt or Project Coordinator exp (with Administrative skills)
This is more of an Executive Administrative role
Experience working with budgets/finance
Experience with MS Project, Totality, eMarketplace a big bonus
The Administrator/Project Coordinator will provide administrative support as well coordinator high-priority projects that are integral to the strategic objectives of the Office of the Chief Medical Officer and Company under the direction of a Senior Director on the Health of Women team.
Job Requirements:
Activities might include, but are not limited to:
General Administrative Support
Calendar coordination, travel and expenses, general meeting support including agenda management, facilitation of team meetings, and project review.
Budget and Contracting Support
Manage and provide oversight of team contracts and budget. Coordinate HCC/Legal/Procurement reviews, track of contract progress and escalate bottlenecks as appropriate. Responsible for Totality submissions, PO creation, tracking of invoices and payments. Work with finance business partner, on a regular basis, to ensure clear and transparent budget management.
Project Management
The incumbent will be expected to prepare project plans, monitor execution of the plans, including timelines and milestones, proactively identify risks to the project and put in place strategies to deal with these, and prepare and deliver progress reports.
Serve as primary administrative contact for vendors and partners to track milestones and timelines. Ensure invoicing is up to date and aligned with contract terms.
Stakeholder Management
Assist with scheduling and execution of stakeholder management plan.
Communication Support
The incumbent will provide administrative support for various communications needs related to the projects to which the incumbent will be assigned. This will include creation and maintenance of SharePoint sites to facilitate content sharing, formatting and refinement of presentation materials, upkeep of landscape/competitive assessments, archival of key messages/communications. Other duties may be assigned as need by manager.
Incumbent must be able to work independently with direction from the Senior Director manager as well as the rest of the HoW and Leadership Team members including the VP.
Requirement:
A minimum of an Associate degree is required. An understanding of project management techniques and proven track record is required.
Experience in working in large complex environments. Healthcare and/or pharma experience a plus.
Demonstrated capabilities in utilizing Microsoft Office products, including PowerPoint, MS Project, Excel, Word, Outlook is required.
Demonstrated ability to prepare communications, stakeholder maps and plans to support ongoing initiatives and report to leadership would be preferred.
This position will require exceptional written and verbal communications skills This individual will require analytical capabilities and able to work well between functions and across all levels of the business.
Strong interpersonal skills are required to facilitate collaborations, and the ability to handle complex tasks independently, with a keen sense to know when to seek guidance a must. High degree of professionalism.
