Office Administrator / Receptionist Based out of the Corporate Office, the Office Administrator will support the CEO/President by providing overall support including handling employee questions, invoice reconciliation, travel bookings and general administrative functions. The essential duties and responsibilities of this role include but are not limited to: Corporate Fleet Tag renewals of corporate fleet with TN tags Maintain corporate office fleet Enters new fleet vehicles into WinTeam Request fuelz cards and pin numbers Legal/Risk Save signed contracts to the w drive Mail Sort the incoming mail and distribute Sort unemployment notices and employment verifications Travel Make all travel arrangements including air, car, and hotel Reconciliation of the Enterprise invoice Weekly Reports Pull each branch job dairy report and convert to a PDF form and submit to Executive Administrative Manager. UPS UPS Shipments – Every other Tuesday, the week opposite payroll UPS Invoice Reconciliation Expense Reports Update expense report for CFO/EVP Finance BOA and Amex statements Maintain petty cash records Miscellaneous Ordering of corporate office and break room supplies Assist in ordering office and break room supplies for branches and other sites when from Amazon, Sams or Costco as the best option vendor Maintain corporate directory and calendars Maintain Presidents contacts and calendar DSI orders are for business cards, etc. Set up Conference calls using the GoToMeeting system for the executive team Maintain Conference Room calendar Recognition letters and certificates Distribute birthday cards for signature monthly Plans monthly birthday luncheon Works with L&D to plan food and travel for orientation groups Assist with stuffing of AP checks for mailing Send out sympathy cards for staff members Maintain Conference Room calendar Track corporate staff tenure Corporate staff audits of outlook calendars & directories Run Job Diary reports in WinTeam Compile Job Diary w/BMR & assemble a complete packet The Ideal Candidate If you are an organized self-starter who is passionate and ready to take on the challenge of providing exceptional customer service in a complex, diverse, people-first culture, then you have what it takes to be a successful Office Administrator. Job requirements include: Bachelors degree (B.A) or equivalent from a four-year college or technical school; or minimum two years related experience and/or training; or equivalent combination of education and experience. Possess intermediate to advanced skills in Microsoft Office software including Word, Excel, Outlook, and PowerPoint and should have a working knowledge of Internet programs and other software as required. Strong written and verbal skills. Position requires reliable transportation to work every day. Ability to work in a team environment and to help identify and solve problems. Strong interpersonal skills to foster positive working relationships with other employees, management and others outside of the company. Ability to deal with internal and external customers and to ensure compliance with fair employment practices and perform multiple tasks simultaneously in a timely, courteous and professional manner.
