What is a Senior Payroll Specialist?

As a Senior Payroll Specialist, you should have the knowledge to process payroll for approximately 600 + employees semi-monthly in Namely which includes salaried and hourly staff, accurate data entry skills are a must, be able to work efficiently and accurately during payroll processing while under pressure, collecting and auditing adjustments, analyzing data, creating payroll reports and summarizing data for both Payroll and HR. You will also interface with employees answering questions and provide support alongside the Payroll Manager and HR Personnel Team. The Payroll Specialist will be able to assists in all functions involved with paying of employees at The Center for Social Dynamics.

We are looking for someone with very strong attention to detail, both written and verbal communication skills, a well organize multi-task person to articulate the essence of payroll. What your role is:

  • Knowledge of Namely PC Payroll for Windows or any other payroll programs
  • Have the ability to upload Time and Attendance payroll source file in Namely
  • Identify and resolve payroll adjustments and be a great problem solver
  • Know how to pro-rate salary wages for salaried employee (if need be)
  • Know how to calculate Termination Pay for term staff
  • Have the ability to prioritize workload
  • Have Organizational skills
  • Be able to Multi-Task

  • Extreme Attention to Detail
  • Self-Starter with the ability to ask questions
  • Some knowledge of multi-state payroll processing
  • Some knowledge of wage withholding orders, garnishments and EDD filing
  • Working knowledge of Excel
  • Good client service skills
  • Good Written and Communication skills a must

Authority:

  • Enter pay detail and reimbursements into Namely system
  • Enter rate increases once specified approvals have been obtained
  • Authority to resolve payroll issues within established guidelines

Maintain Payroll System Records:

  • Keep personnel records and computer records updated with current employee information, i.e. rates, W-4 status, direct deposit, address or telephone numbers, etc.
  • Perform manual update of PTO accruals for those employees working in more than one department during a pay cycle.

Multi State Reporting:

  • Complete all multi worksite reports for assigned geographical region
  • Responding to outside inquiries from state agencies requiring payroll information.
  • Communicating to our outside unemployment vendor

Departmental Duties and Customer Service:

  • Attend required meetings and participate in team and professional development activities
  • Perform other duties as assigned by the Payroll Manager/HR Vice President
  • Provide clerical support to the department when needed
  • Coordinate with Payroll Manager to ensure accurate entries of new hires separations staff
  • Assisting with providing compliance in areas of human resources
  • Maintain discretionary and confidential practices with all employee information due to sensitive business information

Whats required from you?

  • Must possess sound decision while working in an environment of stress with specific deadlines
  • At least three years of payroll experience
  • At least two years of human resources experience
  • High School Diploma
