Facilities Resource Center SpecialistFLSA Status: NonexemptMonths Per Year: 12Hours Per Week: 37.5Starting Hourly Rate: $21.77Position DescriptionPosition SummaryUnder the direction of the Facilities Manager, the Facilities Resource Center Specialist (FRCS) serves as the first point of contact for the University work order system. Providing support for work scheduling, customer service and administrative tasks to Facilities Operations and the campus community.CMMS ManagementResponsible for the maintenance and operation of the Computerized Maintenance Management System(CMMS). Duties include creating and developing databases, maintaining and updating the Preventative Maintenance program, managing reports, issuing passwords, serving as liaison with CMMS vendor on technical issues. Provide support to shops and campus community users for CMMS.Customer Service/Call CenterServe as the first point of contact for Facilities routine, urgent, and emergency issues, and facilitate any necessary response.Receive all calls from students, faculty, and staff; responsible for the coordination and timely issuance of received information to the trade shops for completion.Evaluate and assign incoming work requests to the appropriate trades in Facilities Services.Provide assistance and direction on policies and procedures for requests for service and coordinate between Facilities shops and requesters.Monitor active work in process and act as a point of contact for requesters, managers and shops inquiring about active work orders,Creating and Developing ReportsCompile CMMS data and provide key performance indicators for various work productivity and vendor service reports. Analyze and develop data structure in a way that allows for monthly to annual reporting in an efficient manner. Input compiled leave into CMMS for KPI reporting purposes and other data input as required.Coordinate Contractor Access Requests and Project NotificationsMonitor key box system for Facilities Services and provide access for contractors when needed. This includes issuing keys to the proper entities, monitoring the key system software daily to ensure that all keys are returned to their proper cabinets at end of day and issuing notifications to Facilities managers and leads when keys have not been returned.Notify the building managers and work groups of work or projects to be performed in their areas. This includes creating and forwarding notifications describing the duration and impacts of a project to any space impacted by that work.Marginal Job FunctionsConducts the quarterly classroom audits. May occasionally back up other administrative positions within the department. Other duties as assigned.QualificationsMinimum QualificationsAssociates degree plus 2 years of experience in a related field with strong customer service aspects. Proficient in compiling and validating data for analytical reports. Or an equivalent combination of education and experience sufficient to perform the essential functions of the position.Proficient in MS Office and the ability to quickly learn software applications. and efficiently perform data entry.Preferred QualificationsOne or more years of experience in the use and operation of a CMMS preferred.Benefits at a GlanceConsistent with its fundamental Jesuits value, Seattle University offers a wide range of benefits designed to care for the whole person.
