The Senior Payroll Specialist participates in the day-to-day operations of the Payroll department.
Customer service, both internal and external, processing of routine payroll responsibilities (daily, weekly, monthly, quarterly and year end), execution of significant department operations, and adherence to company policies and controls are the primary responsibilities of this position.
DUTIES & ESSENTIAL JOB FUNCTIONS
Daily
Process Manual Checks and Separations as needed
Respond to inquires via phone and email, exuding superior customer service to internal and external customers
Work closely with HR, IT, Operations and Accounting to ensure all employees are paid timely & accurately and expenses flow to project expenses as expected
Meet company and accounting department goals and deadlines as they relate to the Payroll department
Process weekly payroll for approximately 1500 employees
Print and mail pay vouchers to employees
Process garnishments & issue payment to vendors
Monthly
Investigate older, outstanding checks and resolve issues
Assist with monthly union benefit reporting
Document payroll processes and review and test new automation tools
Monitor and re-order payroll related supplies
Annual and Other Responsibilities
Coordinate preparation and delivery of the annual payroll files to offsite storage
Assist with improving payroll processes and procedures
Serve on special committees from time to time as a contributing team member
Any other duties both within payroll and outside of payroll as deemed necessary by management
Process company pay raises as well as annual bonus’
Assist Payroll Manager in providing back-up for audits or other inquires
BASIC QUALIFICATIONS
At least 5 years of payroll experience processing full cycle, in-house payrolls with at least 500 employees
Must be proficient in Microsoft Office and 10-key data entry
Must have basic PC experience in Windows environments, working knowledge of word processing, spreadsheets, e-mail, Web-enabled applications, and database software
PREFERRED QUALIFICATIONS
At least 1 year of union payroll experience
Payroll experience in the construction industry with union employees
Certified Payroll Professional certification
