Overview: The Payroll Specialist is responsible for ensuring accurate and timely payroll processing and reporting in accordance with Highgate Hotels’ policies and procedures.
Responsibilities: Must be able to work with and understand financial information and data, and basic arithmetic functions.Must be willing to cross train in other accounting or hotel-related areas.Must be able to prioritize job functions in order to meet deadlines.Must be able to maintain confidentiality of information.Must be able to communicate effectively with other departments to achieve common hotel goals.Utilize and maintain time and attendance systems to process daily, weekly, bi-weekly, semi-monthly and monthly payroll and related information to include, but not limited to, input/export payroll hours; modify payroll information (rates, address, status, etc.); record miscellaneous earnings/deductions, etc.Review and ensure accuracy and appropriateness of all payroll input and output.Monitor, prepare and communicate financial reports in accordance with Highgate Hotels requirements meeting various due dates; i.e., daily labor, tip, month-end, overtime reports, etc.Prepare tax reports and other regulatory reports as necessary.Monitor and prepare deduction schedules and payments as necessary; i.e., credit union, garnishments, health & welfare, pension and union dues, etc.Ensure proper paycheck distribution for each department periodically.Maintain a working knowledge of current payroll related laws and regulations.Prepare and input all required payroll journal entries.Keep supervisor informed of any unusual events and/or deviations of policies or procedures.Copy and distribute reports as necessary.Respond to governmental inquiries upon receipt.Sedentary work Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.Monitor and maintain timekeeping equipment.Flexible and long hours sometimes required.
Qualifications: High School diploma or equivalent required and/or experience in a hotel or a related field preferred.
At least one year of progressive experience in a hotel or related field preferred.College course work in related field helpful.Computer knowledge/skills required.Maintain a warm and friendly demeanor at all times.Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.Must be able to multitask and prioritize departmental functions to meet deadlines.Maintain high standards of personal appearance and grooming, which includes wearing the proper uniform and nametag.Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.Must be able to understand and apply complex information, data, etc.
