Job Description: Admin Assistant: The Administrative Assistant will be responsible for supporting our global regional administrators for order entry, sales/ service/ warranty paperwork support, reviewing backlog issues, processing Order Entry Review Forms, assisting with maintaining Customer Portals, maintaining corporate procedures, including ISO and Sarbanes-Oxley procedures, copying and filing requirements.
Basic Duties: 1.
Assist administrators in daily order processing from purchase order through shipment and billing.
Obtain credit information, if necessary.
Inform customer / sales representative of shipping date, anticipated delays and any additional information needed by the customer and maintain shipping records.

Process Return Material Authorizations.
3.
Work with Accounts Receivable to resolve billing discrepancies.
4.
Coordinate production schedule with Manufacturing.
Expedite orders when necessary to ensure timely shipment.
5.
Liaison between field personnel and factory on quotations to order entry and other customer related issues.
6.
Reconcile order status reports between customers and Zygo factory.
7.
Administer office procedures and operations in compliance with Zygo Corp.
standards.
You will also be part of the team developing new standards and filing and implementing them to regional offices.
This may include delivering web training seminars or travel to regional offices.
8.
Work as a team member to create procedures to automate and evolve our corporate functions.
9.
Perform other related duties as assigned.
Minimum Requirements BA, Business Administration desired or equivalent experience.
Strong communications and interpersonal skills.
Ability to work independently under short notice deadlines.
Position requires a minimum of 2-3 years of Customer Service / Sales Administration experience.
Physical Requirements: Walking, standing, sitting, lifting (up to 25 lbs), talking and keyboarding.
