NASTAD (National Alliance of State & Territorial AIDS Directors) is a leading non-partisan non-profit association that represents public health officials who administer HIV and hepatitis programs in the U.S.
Our singular mission is to end the intersecting epidemics of HIV, viral hepatitis, and related conditions.
We do this work by strengthening domestic and global governmental public health through advocacy, capacity building, and social justice.
Each of NASTAD’s six programmatic teams
– Health Care Access, Health Systems Integration, Drug User Health, Hepatitis, Health Equity, and Prevention
– interpret and influence policies, conduct trainings, offer technical assistance, and provide advocacy mobilization for U.S.
health departments and ministries of health around the world to improve health outcomes for people living with HIV and viral hepatitis.
NASTAD serves as the CDC National Technical Assistance Provider and the HRSA Systems Coordination Provider (SCP), as part of the Ending the HIV Epidemic: A Plan for America (EHE) initiative.
As part of this work, NASTAD develops tools and resources to assist EHE Phase I HIV prevention programs and RWHAP Part A and B grantees by improving coordination across EHE stakeholders and health systems.
Job Description
Job Summary
Under general supervision of the Senior Manager, Administration, the Manager, Meetings, and Travel will provide management, coordination, and hands-on delivery of comprehensive service and support to members, staff members, and other stakeholders as appropriate.
This position will coordinate and implement several, often simultaneous, live and virtual events, monitor airline travel and ticket purchases for airline travel, manage travel-related vendors, maintain travel-related processes, reconcile the meeting and travel expenses, complete appropriate forms and procedure documents, and work to fulfill NASTAD mission, goals and objectives within the limitations of agency resources and policies and within federal grant requirements.
Essential Duties
In collaboration with programmatic staff and organizational leadership, plan and execute logistics of all meetings and events, whether live or virtual, including RFP management, site selection, contract negotiations, registration management, food and beverage selection, room layout, audiovisual, and provide on-site logistics management.
In advance of events, meet with staff to establish complete requirements of the events, including creating backup plans for moving meetings to virtual events.
Coordinate staff and non-staff travel and associated activities to ensure compliance with organizational and federal grant requirements, as well as NASTAD travel framework and safety protocols.
Maintain and update as needed NASTAD’s travel and meeting policy to align with best practices and federal travel regulations.
Maintain a calendar of upcoming meetings and events.
Provide on-site support and coordination at some meetings and events.
Qualifications
Minimum Qualifications
Experience/Education
Typically a Bachelor’s degree in business or a related field (or equivalent); 4-5 years of work experience directly related to meetings, events and travel or any equivalent combination of training, education and experience that demonstrates the ability to perform the essential duties of the position.
Experience working with federal contractors a plus.
