Overview

This position schedules all new patient visits, reevaluations, simulations and special procedures for the department.

Avoiding conflicts and assuring communication of vital information to required parties.

The Scheduler, as our first line customer service representative, maintains a professional demeanor and appearance that promotes department goals.

This position works with schedulers in multiple departments and assists management in training and other responsibilities determined by management.

Responsibilities

Essential Functions:

Sets high standard of customer service.

Assures patients’ needs are met in a timely and professional manner
Dresses and conducts self professionally.

Sets the standard to assure positive initial impression
Schedules all patient appointments and special procedures for the department for the department and notifies patients with reminder phone calls set by department policy
Knows department physician’s schedules and special needs and uses information to avoid scheduling conflicts
Understands procedures routinely performed in department and their special instructions and preparations.

Keeps patients aware of their schedule and procedures to be followed
Familiar with referring physicians using department services, their staff, specialty and special needs and uses the information to provide superior customer service to our patients and physician referrals
Understands conflict scheduling, takes necessary steps to avoid errors
Provides accurate scheduling information for both internal and external customers
Enters scheduling information into multiple computer systems accurately and timely
Request referral or authorization for visit or procedure at time of scheduling and enters into clinic computer system and submits to Case Facilitator if authorization is needed or patient is self-pay
Verifies demographic information is correct in the electronic medical record
Covers clinic switchboard for incoming calls while making outside calls to physicians and facilities for clinic physicians
Orders and returns patient films for clinic and coordinates the input of CD’s into the hospital Radiology system
Schedules diagnostic testing, radiology and specialist’s appointments as ordered by physicians
Processes incoming hospital consult requests for clinic physicians and documents in the electronic medical record
Works with physicians and residents to insure orders are complete and accurate before processing
Works with Coding to insure referrals are properly coded for processing
If errors are found in orders and scheduling cannot be completed at the time patient is present, the scheduler will correct error in a timely manner and inform patient no later than 24 hours from initial meeting

Performs other duties as assigned by authorized personnel or as requested to meet the needs of the facility as well as internal and external customers

Qualifications

Education / Accreditation / Licensure (required & preferred):

High School Diploma or GED required.

Some college preferred

License & Certification: NA

Experience (required and preferred):

Two years’ experience in hospital or outpatient department scheduling preferred.

Knowledge of Medical Terminology necessary
