Instructional Systems Designer

This is a Full-time position in Vienna, GA posted October 17, 2021.

JOB DESCRIPTION

Coordinate office management; provide filing and correspondence services as needed for Foster Grandparent Program Office located in Greeneville, TN.

Keep abreast of current assignments and projects in which the program director is involved. 

Duties and Responsibilities:

  • Responsible for keeping office in order and running smoothly.

    Ensures that all office policies and procedures are followed and updated as needed.

  • Projects a professional, warm demeanor, and clear communication style.
  • Maintains inventory of office equipment and promotional marketing supplies.
  • Maintains adequate supply of brochures, reports, etc.

    to be used for meetings and in-services.

  • Reviews incoming correspondence and routes to appropriate staff person.
  • Maintains paper filing system including maintenance of files/documents.

    Performs regular backups of computer files.

  • Maintains accurate records pertaining to FGP (financial reports, FGP evaluations, site evaluations, required annual reports, and volunteer records)
  • Conducts thorough audit of FGP time sheets and submits payroll information on a timely basis.
  • Maintains tickler file of deadlines, time-dated actions and upcoming events.
  • Assists Program Director with site visits on regular basis.
  • Reports any inaccuracies to Program Director immediately.
  • Maintains confidentiality regarding all program responsibilities.
  • Abide by FTHRA and FGP policies and procedures.

Abilities and Requirements:

  • Associates Degree from accredited university or at least 5 years relevant work experience.
  • Proven administrative and management skills
  • Experience working with older persons, volunteers and/or youth
  • Strong oral and written communication skills
  • Interpersonal skills
  • Experience with operation of general office equipment and greater than basic computer skills are necessary
