Intermodal Dispatcher/customer Service Representative

Vision Logistics is growing and has a need for a full time intermodal dispatcher/customer service representative.

The dispatcher/customer service representative is responsible for the effective management of our local truck drivers.

The purpose of this position is to schedule and route drivers for pick-ups and/or deliveries of customer freight in the most cost-effective and safe manner while following company policies and procedures and any and all safety regulations.

The intermodal dispatcher/customer service representative is responsible for clear and concise communication with the truck drivers and ensures that all the necessary paperwork is received in a timely manner.

The role of the intermodal dispatcher/customer service representative is to manage the freight for a specific customer base within a team environment.

This is accomplished by gaining an understanding of customer requirements as well as developing relationships with our network of carriers, while maintaining an open line of communication with the customer.

Essential Duties & Responsibilities:
Perform the scheduling of drivers on customer’s accounts
Ability to utilize load entry software in a timely and accurate manner
Team work with load planners
Manage the driver’s daily vehicle condition reports
Manage the driver’s hours of service compliance
Manage the driver compliance in regard to Federal and State regulations, including but not limited to Federal Motor Carrier Safety Regulations and OSHA regulations
Maintain a good working relationship with peers and drivers
Completely understand and follow all policies, procedures, standards, specifications, guidelines and training programs
Cover all freight in the most cost-effective way possible
Efficiently perform tasks assigned in a timely manner
Maintain customer satisfaction and improve client relationships when/where necessary
Meet/exceed goals set by your immediate supervisor
Communicate with customers, railroads and brokers to schedule pick-ups and deliveries of containers and trailers
Track movement of containers to ensure on-time pick-up and delivery
Resolve any service issues by clarifying the customer’s requirements, determining the cause of the problem(s), choosing and communicating the best solution to resolve the problem and following up to ensure resolution
Maintaining employee records including driver’s logs, TMS information and payroll
Operational safety
Filter client calls/emails and communicates issue(s) with drivers and management team as appropriate
Identify and correct any daily schedule discrepancies in real-time
Maintain the necessary capacity to serve the customers’ transportation needs in a safe and efficient manner
Ensure drivers adhere to all company, customer and government rules & regulations
Plan for the driver time off necessary to adhere to hours of service regulations
Identify inefficiencies and implement corrective solutions
Pro-actively monitor driver performance, hours of service and compliance with company policies
Communicate with supervisor, customers and drivers to ensure customer’s requirements are met while getting the most efficient use of available resources
Understands safety, maintenance, cleaning, performance and qualify issues
Takes immediate action as required/directed to correct any customer requirement issues
Checks drivers’ hours of service and maintenance condition reports of equipment
Notifies drivers of pick-up and delivery assignments
Dispatches drivers for shipment pick-ups and deliveries
Expected to learn and abide by DOT regulations, safety policies and other Regulatory bodies having jurisdiction over motor carriers
Required Qualifications:
High School diploma or equivalent
Must have excellent communication skills (written and oral)
Working knowledge of North American ground transportation
Excellent understanding of the geography in the assigned local services area
Ability to lead others
Ability to function effectively in a fast-paced work environment
Ability to deescalate conflicts
Excellent communication and customer service skills
Possess proficient computer usage skills
Knowledge of Microsoft Office (Excel, Outlook and Word)
Ability to self-motivate and multi-task
Requires skill in arithmetic as well as critical thinking skills
Strong attention to detail
Reliable transportation to and from the workplace is mandatory
Ability to work in a fast paced and sometimes stressful environment
Work well in a team environment
Phone/customer service experience
Transportation experience
Office or field office experience
Willing to learn
Ability to be flexible
Must have experience in a fast paced & ever-changing work environment
