Federal Records Management Support
Southwestern Power Administration, an agency within the Department of Energy, contracts with Wyandotte Nation’s Wyandotte Technologies for services support.
Wyandotte Technologies has a long-term opportunity for a Records Clerk to assist the federal records program manager in ensuring Southwestern Power Administration’s compliance with Federal Records Management.
The position is in Tulsa, Oklahoma.
Responsibilities:
Provide Records Resource Support Services throughout Southwestern’s system to assist the federal records program manager.
Perform the types of services listed below throughout Southwestern’s offices including but not limited to the following:
· Provide necessary controls over the maintenance of records to ensure that records, regardless of format or medium, are identified, organized, and accessible for use by Southwestern staff.
· Prepare records for transfer to off-site storage facility and inventory record’s rooms annually.
· Scan and index vital and non-vital records and provide quality assurance of scanned items to validate accessibility.
· Recall offsite records, when requested.
Assist with file plans and retention schedules maintenance and updates.
· Report any instance of unauthorized destruction of records to the Records Officer.
· Perform Southwestern requested Legal Discoveries.
· Provide record retention reviews, regardless of format or medium, notify Southwestern personnel of record keeping requirements and perform appropriate actions (destroy, transfer, keep) per the disposition authority once approved by Federal record owner.
· Maintain up-to-date Records Management Manual and procedures.
· Coordinate with all areas of the agency to ensure clear understanding of their File Plans and Records Schedules to ensure proper processes are being followed.
· Conduct Records Training / Workshops to ensure the program is operating per NARA Guidelines.
· Assist agency in meeting the Annual Requirements necessary to comply with a Federal Records Management Program, including items such as Annual User Training, Clearance Procedures, Records Management Self Assessments (RMSA’s), and Directives such as Capstone, and the push to reduce the paper records footprint in support of a more electronic records approach.
· Serve as a Subject Matter Expert to ensure Southwestern’s Official Records Management System is configured and being used in accordance with Records Management Best Practices.
Conduct user training sessions as needed to ensure the agency continues to educate users on proper records handling.
Education Requirements:
· Bachelor’s degree or equivalent experience
· Minimum 3 years’ records management experience preferably government or law office
· SharePoint experience required
· Microsoft Word experience required
· Microsoft Excel experience required
· Adobe Acrobat Pro experience required
