The Customer Service Representative position will be located either at Aurora or Carol Stream IL.
and is responsible for preparing estimates and providing administrative support for customer projects and retail display accounts.
This position applies established processes to meet the needs of customers during the completion of projects, operates within defined parameters using systems that include HRMS, SAP, and customers systems, and facilitates scheduling, material planning, inventory replenishment and tracking, sales order entry, miscellaneous invoicing, and records management.
Responsibilities: Performs administrative duties of customer service in accordance within defined workflow processes, systems, policies, procedures, and practices that include building order specifications/bill of materials, performing estimating function, material planning, inventory management, sales order entry, miscellaneous invoicing, production guidance, specification approval, creating purchase orders, records management, and dispute management.
Places orders for materials with pre-approved vendors.
Supports sales in quoting and estimating projects by applying established pricing methodologies.
Prices under established margins and delivers quotations.
Builds order specifications, prepares material plans, places orders for materials with pre-approved vendors, creates bill of materials, Coordinates production requirements, inbound product, shipping, and inventory management.
May assist in preproduction meetings and develop time lines for order/project execution by filtering information and facilitating the communication flow between departments in the facility and external parties.
May investigate and resolve customer complaints by involving appropriate departments within facility.
Seeks guidance for process solutions; limited authority to resolve issues within current processes.
Coordinates appropriate approvals including proof approvals, draw-downs, press checks, and design changes incorporating understanding of art, bleed, and registration for production.
May participate in First Article Maintains house accounts and lower complexity accounts, including warehouse replenishment programs, with direction from manager.
High degree of flexibility to flow between multiple priorities to support Account Managers, Project Managers, and Designers; possesses an understanding of bill of material and executes work handed off by others Accuracy, thoroughness, attention to detail, timeliness/responsive, reliability, patience, listening skills, and interpersonal savvy are crucial.
Support information flow with external and internal business contacts.
Position has limited direct interaction with customers, internal and external vendors, suppliers, and contractors; limited authority to resolve issues within current processes.
Provides a broad range of administrative and back up support for other functions as needed.
Requirements: Three or more years work experience in customer service or project management, business-to-business inside sales, order management, purchasing, or manufacturing planning.
Associates or BA/BS preferred; commensurate work experience in customer service, project management, inside sales, or other order management roles desirable.
Must be skilled at the basic fundamentals of customer service and have the ability to apply principles and established systems in the execution of the work.
This position requires a high level of administrative, organizational, and communication skills, including exemplary telephone and e-mail etiquette and ability to present self in a professional manner.
Ability to multi-task and effectively use priority management skills is critical.
Must possess a disposition that thrives on a deep understanding of the details and ensures their execution.
Must demonstrate a proven track record of accurate data entry; well-developed skills in Excel, Word, PowerPoint, and SAP a plus; uses industry
– and customer-specific computer systems.
Must be comfortable working independently on a day-to-day basis but equally adept at working closely with and influencing internal stakeholders to support the execution of projects.
Knowledge of the corrugated and printing industry preferred as is basic understanding of equipment capabilities and how orders can most effectively flow through the facility.
Fundamental knowledge of company procedures, products, and services.
