The Receptionist – Administrative Assistant provides general support with a variety of clerical activities, general office, and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. They must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
Essential Functions
Answer calls in a professional and welcoming manner.
Greet and welcome customers- offer them a water, coffee, or soda.
Schedule meetings and manage conference room schedules
Enter events and maintain company calendar
Maintain organization of conference room, kitchen, and common areas
Ensure copiers and fax machines are stocked with paper, toner, and schedule maintenance when necessary
Schedule office maintenance visits when necessary
Assist team with scanning, emailing and faxing documents.
Ensure the mail is checked daily and distributed, prepare overnight deliveries
Ensure office supply inventory is maintained and orders are completed when necessary
Maintain phone/extension lists monthly
Scan and upload documents for vendors/clients into Spectrum
Print, file and mail vendor checks
Other requests as necessary (filing, updating excel documents, writing e-mails and letters)

Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Required Education and Experience High school diploma.
Three – five years of administrative or clerical experience.
Construction experience a plus, but not required.
