– Real Estate and Construction

Primary Function

The Project Coordinator is responsible for managing the Strata systems for Real Estate Design and Construction.

This individual supports the Directors and Project Managers of Construction.

This role is to provide critical project support for maintaining, tracking and controlling documents and approvals in the Strata system.

Essential Job Functions

  • Facilitate entering quotes for furniture, signage, equipment, and other capital project components in to capital finance and construction management software.
  • Procure quotes from vendors based on specified selections of equipment, signage and equipment and review with Project Lead for completeness
  • Facilitate input of project budgets, purchase orders and contracts from Strata to Owner Insite, and vice versa.
  • Review all project requisitions on a weekly basis to ensure that requisitions that are entered are out of draft and that timely review/approval/PO issuance is completed per the PM’s needed PO issuance schedule.
  • Manage Strata sign-off process for project approvals and requisitions assuring timely completion of approvals in Strata by tracking progress and prompting reviewers as necessary.
  • Execute monthly strata cost reports in cooperation with project management software project coordinator providing monthly audit of cost in Capital Finance software and Construction Project Management software to ensure accurate project accounting.
  • Assist project staff with project closeout including documentation and contingency resolution.
  • Assist with Infrastructure Project Import Template into Strata.
  • Assist with Project Closeout within Strata and returning unspent funds back to the ministry.

Employment Qualifications

Required Minimum Education: 2 Year/Associates Degree; Para Legal Preferred, Business and/or Human Resources

Preferred Education: 4 year/Bachelors Degree; Para Legal preferred Business and/or Human Resources

Minimum Years and Type of Experience: Minimum 5 years of demonstrated administrative experience in construction projects

Other Knowledge, Skills and Abilities Required:

  • Experience working within a demanding corporate environment with access to highly confidential and proprietary information.

  • Proven track record of relationship building with both internal and external customers.

  • Strong interpersonal communication, organization, planning, problem solving, and judgment skills.

  • Experience with contract writing, contract language interpretation, Strata, Owner Insite, AIA software and DocuSign is preferred.

  • Requires previous work experience using a calculator, personal computer, and computer programs to include Microsoft Excel, PowerPoint, Outlook, Word, and internet usage.

    Experience with Microsoft Project, Primavera and other Construction Management Software is beneficial but not required.

  • The ability and willingness to learn new software is necessary.

  • Must have excellent communication, interpersonal and customer service skills.

  • When necessary, must be able to appropriately “funnel” internal and external customer questions and concerns to the appropriate employee within BSMH.

  • Ability to work independently, retain flexibility & maintain composure while working with multiple and frequently changing priorities.

  • Proven background in maintaining schedules and meeting deadlines is a must.

  • Strong organizational skills and ability to handle multiple tasks a must.

  • Strong team orientation a must.

  • Strong desire to expand and/or learn more advanced intranet, internet and social media tools and content management

Other Knowledge, Skills and Abilities Preferred:

  • Experience working in a remote and distributed work environment
