THE OPPORTUNITY To perform a wide variety of administrative functions to an assigned group, which may include Investment Directors, Investment Associates, department staff, and the Key Relationship Director.
In addition, a Senior Administrative Assistant will take on high-level duties such as conducting research, creating materials, preparing correspondence, and special projects.
The Senior Administrative Assistant will respond to information requests, exhibit excellent judgement, think outside the box, and consistently seek to contribute to those he/she supports, our clients, and the firm at large by assuming greater responsibilities.
The Senior Administrative Assistant may also mentor staff and take on leadership roles.
RESPONSIBILITIES Works closely and effectively with Investment Team and Key Relationship Director to keep them well informed of upcoming commitments and responsibilities, informing of conflicts, and following up appropriately.
Extensive calendar management: schedule many internal and external meetings involving heavy coordination with internal staff, clients, and prospects.
Make complex and detailed travel arrangements using travel agency and Concur (online travel booking tool).
Manage work streams and liaise internally with staff and externally with clients.
Support business development and client relationship management efforts: manage CRM entries, run reports, research prospective client backgrounds and bios, and coordinate client outreach processes.
Exercises well-developed interpersonal skills and good judgement to move a conversation or an effort to satisfactory conclusion with minimal direction and oversight.
Willingness to be an early adopter of firm changes (i.e.
MS Teams) often leading by example and assisting where applicable.
Identify process gaps within Intact team & Key Relationship team and develop strategies to address.
Serve as a resource to internal support groups (IT, Facilities, etc.).
Works closely with Administrative Manager to mentor and train team members when applicable.
Provide administrative support to Investment Team and Key Relationship Directors as well as their team(s): Audit & update CRM system according to task and dynamically as new information is sourced Input notes into CRM program and pull information for meeting prep.
Maintain and edit clients and contacts as needed in CRM Research information via CA Home and Internet.
Communicate and ensure the Firm’s standards for formatting are applied to all correspondence, presentations, and materials.
Type, revise, edit, and proofread various documents and prepare materials for client books.
Ensure that technology is appropriate and functional for meetings, conference calls, and videoconferences.
Prepare timesheets, expense reports, and Amex statements.
QUALIFICATIONS 4 or more years of administrative/coordinator experience.
Advanced knowledge of MS Word, Excel, PowerPoint, and Outlook is required.
Experience with MS Teams, Adobe Acrobat and CRM is preferred.
Experience with Microsoft Dynamics, Jive, Igloo, Box is a plus.
Ability to manage multiple work streams with rapidly changing priorities with minimal direction.
Proactive approach to problem solving with strong decision-making capability.
Proven time management and organizational skills.
Able to navigate team needs, quick turnaround times, and prioritize accordingly.
In depth knowledge of administrative procedures and tools.
Ability to use resources efficiently and effectively.
Supports the values and goals of the firm by proactively finding areas to add value to the team, practice, department and firm.
Able to nimbly work to form relationships cross-office, resulting in more effective management of cross-office staffed teams and relationships with all levels.
Excellent writing and proofreading skills are mandatory with an emphasis on accuracy, spelling, punctuation, and grammar.
Must be able to maintain a high degree of confidentiality.
