JOB DETAILS: Receptionist and Production AssistantLOCATION: Hartford, CT In Office PositionDEPARTMENT: AdministrationJOB SUMMARY:The candidate should be able to perform all functions related to reception including but not limited to receiving calls, meet and greet clients, vendors and direct them to appropriate individual(s) within the firm according to the Firms established policies and procedures.
The candidate should be willing to assist Administration and Production department on regular basis and occasionally with special projects as requested.REQUIRED:Must be able to read and write English at a level normally acquired through the completion of high school in order to process informational messages.Minimum of three years of experience as a receptionist, preferably one year in a law office and a good understanding of law office policies and procedures.JOB RESPONSIBILITIES & FUNCTIONS(Including but not limited to)The candidate should be able to:Receive and record oral information from telephone callers or in person, and then appropriately communicate it to attorneys and staff.Operate a multi-line telephone console in order to relay incoming, outgoing and intra-system calls and direct telephone calls to appropriate attorneys and staff.Meet and greet clients and visitors to the law office and ensure proper clearance and routing of such parties in accordance with firm policies including processing client intake information and forms when requested.Receive and record hand deliveries to the firm and/or individuals in the firm and route them accordingly to the proper recipient.Assist with scheduling use of conference rooms, validate parking and maintain neatness of lobby and reception area.Able to scan and email documents as required.Process and format variety of legal documents and materials using a wide range of office software applications.Able to type 60 wpm error free.DESIRED TECHNICAL SKILLSIdeal candidate must possess proficient computer skillsKnowledge using: Microsoft Office products, AdobeKnowledge of legal management software SurePoint LMS is a plusConcept of databases and electronic records managementEfficient and error free typing skillsDESIRED EXPERIENCEExperience of working at Law firm and familiarity with legal practice areasAble to prioritize assigned tasks and able to multi-taskAptitude to work independently and in a team environmentKeen attention to detailEstablish professional working relationships with vendors and firm employeesCommunicate effectively verbally and in writingAptitude to learn and upgrade skills as needed, from time to timeJob Type: Full-timeBenefits:401(k)Employee assistance programFlexible spending accountHealth insuranceHealth savings accountLife insurancePaid time offReferral programRetirement planSchedule:8 hour shiftMonday to FridayCOVID-19 considerations:All unvaccinated employees and visitors are require to wear a mask in common spacesEducation:High school or equivalent (Preferred)Experience:Receptionist and Administrative Assistant: 2 years (Preferred)Customer service: 1 year (Preferred)Work Location: One location
