SUMMARY
The Administrative Support/Receptionist can work either full or part time, however, front desk coverage required between 8:45am to 3:00pm.
The Administrative Support/Receptionist will provide general administrative support to the Executive / Management team while managing front desk and all office management administrative tasks on a daily basis to include but not limited to:
Receptionist duties:
- First point of contact for visitors
- Greet and welcome guests and administer appropriate sign-in forms/badges
- Direct visitors to the appropriate person
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Orders meeting refreshments as requested
- Sets up conference rooms for luncheons and tidy up afterward
- Checks conference rooms daily and ensures they are tidy and organized
Administrative duties:
- Receive, sort and distribute daily mail/deliveries
- Handle all building management issues with Management office
- Order office/kitchen supplies and keep inventory of stock
- Keep updated records of office expenses and costs
- Perform other clerical duties such as filing, photocopying, and faxing
- Prepares outgoing mail and packages
- Responsible for postage meter operation and maintaining necessary supplies
- Assist with large mailings
- Onboarding administrative support – order background checks, order building/office access cards, collect all Form I9 info etc
MINIMUM QUALIFICATIONS
- At least 1 year of administrative support/receptionist experience required in a professional corporate environment
- Strong PC skills including advanced Word, Excel, PowerPoint, and Adobe Acrobat
- Excellent verbal and written communication skills
KNOWLEDGE, SKILLS AND ABILITIES
- Energetic administrative professional with customer service attitude
- Ability to prioritize and multi-task while meeting deadlines in a fast-paced, corporate environment
- Ability to work confidentially with highly sensitive information
- Detailed oriented individual with excellent organizational skills
- Must have initiative and willingness to help out where needed, suggest ways to streamline work and improve processes
