Receptionist Job Description
Position Summary:
The primary purpose of the Receptionist is to offer administrative support across the organization.
This individual will welcome guests and greet people who visit the business.
As well as coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Receptionist, this individual should have a pleasant personality, as this is also a customer service role.
They should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations.
Essential Duties And Responsibilities:
Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person and office
Answer, screen, and forward incoming phone calls
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g.
pens, forms, and brochures)
Provide basic and accurate information in-person and via phone/email
Receive, sort, and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Order front office supplies and keep inventory of stock
Update calendars and schedule meetings
Keep updated records of office expenses and costs
Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
Performs other duties as may be assigned.
Qualifications:
To perform this job successfully, the associate must be able to perform each essential duty satisfactorily.
The requirements listed below are representative of the knowledge, skills, and/or abilities required:
Education And/or Experience
2 to 5 years of related experience and/or training; or equivalent combination of education and experience.
High school diploma or general education degree (GED) required.
College degree preferred.
Skills And Knowledge Requirements:
Work requires a solid knowledge of business and an excellent command of the English language to effectively communicate with management, associates and customers.
Must have a high level of interpersonal skills to handle sensitive and confidential situations.
Position continually requires demonstrated poise, tact, and diplomacy.
Must demonstrate an ability to think strategically, plan and organize effectively.
Must be able to maintain an exemplary degree of professionalism in all situations.
Requires a proficient analytical ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
Results driven with demonstrated critical and creative thinking skills.
Project management, time management, analytical and superior organizational skills required.
Demonstrated ability to exercise discretion, confidentiality, and independent judgment with the ability to use compassion and diplomacy.
Proven ability to plan, organize, multi-task, set priorities effectively and efficiently to proactively respond to changing demands, from multiple sources.
The ability to execute directives with precision and consistency.
Working knowledge of Microsoft office products is required.
Proficient in Microsoft office.

While performing the duties of this job, the employee is regularly required to sit.
The employee frequently is required to use hands to finger, handle, or feel; and talk; or hear.
The employee must occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job may include close vision, distance vision and depth perception.
The incumbent must be able to work in a fast-paced environment.
