The Position Operations Administrative Assistant
Our Operations Administrative Assistant is the proactive and reliable glue that ensures the offices runs smoothly as the company grows.

We’re looking for someone who is energetic, persistent, detail-oriented, considerate, and capable of and interested in improving operational inefficiencies.
Our Operations Administrative Assistant will oversee a range of tasks not limited to process coordination, calendar management, administrative support, event planning, representing Connor within the community, and special projects to support our rapidly growing team.

At its core, a successful Office Operation Manager does the following
Work alongside executives to support key functions, such as consulting operations, scheduling, and recruiting, through activity tracking, follow-up, routine business analysis and reporting, helping implement process changes.

Provide support to Operations Administrative Manager on all operational matters, including but not limited to Provide ad hoc support to other leadership team members whenever necessary.

Manage the day-to-day activities at the office including answering the phone, organizing files and mailings, maintaining food and beverages, maintaining cleanliness of office and ensuring that the office policy is abide by.

Serve as point of contact for employee questions about policies, procedures, technology.

Act as our ‘ambassador of first impressions’ by greeting guests and welcoming candidates to the office directly and warmly.

Handle logistics and planning for company events such as interviews, client visits, recruiting, regular team meetings, offsite events and ad hoc celebrations.

Arrange for conference, video, and phone calls as needed.

Take on special internal projects requiring research, analysis, and communication.

Resource planning and coordination activities
– timesheet, forecasting, reporting of such resource management activities Maintaining and enforcement of policies and procedures, including internal compliance activities Resource onboarding and offboarding procedures Internal tool management, reporting, and trouble-shooting Recruiting coordination support
Requirements
Minimum 3-5 years’ work experience in Administrative Support, Office Management, Customer Service, Event Coordination, Facilities Management, Project Management or equivalent.
Excellent project management skills.

Ability to manage and prioritize work independently.

Excellent verbal and written communication skills required.

Excellent interpersonal and team building skills.

Strong problem solver.

Ability to assess, research and resolve ad hoc issues.

Comfortable working in a fast paced, dynamic team environment.

Ability to handle change and help others manage business process change.

Proactive, quick learner and self-starter.

Good computer skills (Excel, PowerPoint, Google Apps, Asana, Slack, etc.); interest in new technology.
