Job Summary BMS is seeking an energetic, proactive and resourceful Administrative Assistant for our Bothell facility who is willing to step into any role needed while loving the fast pace, change and variety.

Under the direction of the Bothell Business Operations Supervisor, this Group Admin will be responsible for providing administrative support, as well as general clerical support to the Bothell team.

This position will be based at our “JuMP Now” building.

Primary Responsibilities: Essential duties and responsibilities include but are not limited to the following: Provide shared support to Site Leadership Team and Department Managers Dynamic and complex calendar management with the ability to prioritize and proactively communicate regarding potential conflicts Collaborate with Exec Admin to Site VP to create presentation materials for leadership team Oversee and assist with conference room scheduling Schedule team meetings, workshops and large offsite meetings Collaborate with IT to arrange AV/technical support when appropriate Manage vendor relationships for breakroom & office supplies Individual accountability for expenses using Concur Collaborate with other BMS administrative teams Handle and distribute incoming & outgoing mail Develop strong working relationships with IT, security & warehouse teams Create RFPs, negotiate, and maintain vendor contracts as needed Implement, organize and maintain online documents Order catering, set up before & clean up after meetings Work with Facilities & Engineering to keep site running at the highest level including Lenel security system and badge accountability The individual is required to achieve all assigned goals while maintaining compliance with all BMS standards.

Customer Service is paramount.

The qualified candidate for this role must build and sustain strong relationships with internal and external stakeholders to meet site and business requirements BizOps representative on JuMP Safety Committee & JuMPing-In Champion Functional knowledge of Finance and Budget for BizOps Collaborate with SLT & the People Team to write and publish Office Policies Work with Exec Admin to VP to procure BMS site swag Qualifications: Excellent Microsoft Office skills including Outlook, Word & Excel Proficiency with PowerPoint, SharePoint, MS Teams & Visio preferred.

Willingness to work in a fast-paced environment where individual initiative and accountability to the team are required.

Excellent interpersonal, written and oral communication skills are a must Ability to multi-task and efficiently prioritize are critical requirements Maintain confidentiality and exercise sound judgment Demonstrated ability to effectively & efficiently manage multiple priorities in a fast-paced environment Educational Requirements 3-5 years of experience in a high-level administrative position Bachelor’s degree Bristol Myers Squibb recognizes the importance of balance and flexibility in our work environment.
