DescriptionJob Description:The Defense Health Operation of Leidos is currently looking for an Executive Administrative Assistant for the Naval Submarine Medical Research Laboratory (NSMRL) in Groton, CT. NSMRL conducts research and investigates the effects of medical, psychological, and performance issues associated with the health and performance of naval personnel in operational and non-operational settings.Primary ResponsibilitiesThe ideal candidate shall:* Coordinate travel arrangements/vouchers for personnel in the Defense Travel System (DTS) as an appointed Non DTS Entry Agent (NDEA) as directed.* Complete photocopying, compile printouts (briefing packages, business cards, etc.), scan documents, and coordinate department mail.* Provide coordination and organization support for department meetings.* Record meeting minutes as required.* Draft Weekly Activity Reports (WAR).* Assist with scheduling, coordinating, and planning meetings and conferences for on-site, off-site, and telecommunication.* Provide coordination and recording support for all documents in the Scientific Review Board (SRB) and Institutional Review Board (IRB) review processes.* Serve as the Administrative IRB Coordinator.* Provide document creation, review coordination, and support for the scientific proposal process – specifically proofreading, formatting, editing, and uploading/sending final documents.* Prepare, review, and disseminate various internal or external communications and official correspondences.* Perform data entry into project databases for analysis and evaluation of experimental data.* Organize documents and schedules for various projects or studies.* Provide documentation support for various projects or studies with reports, papers, research protocols, presentations, and posters – specifically proofreading, formatting, and editing support.* Support the ordering and maintenance of inventory for department office supplies.* Assist with and participate in development of internal and external Command presentations and briefs.* Provide literature review/article retrieval support.* Directly support administrative requirements for senior military and Government civilian staff as required.Basic Qualifications* Bachelor’s degree and 4+ years of relevant administrative experience is required; however significant administrative experience, particularly in support of executive staff, may be considered in lieu of education.* Candidates must have advanced MS Office skills, including Outlook, Word, Excel, PowerPoint, Access and SharePoint.* The candidate will be required to acquire, at a minimum, a SECRET classification access level.
