 :Weekdays and Weekends 4pm-8pmReceptionist Position SummaryUnder the direction of the Human Resources Manager, this position is responsible for ensuring that the programs and services delivered are consistent with American House’s philosophy of Senior Living and that the highest quality of customer service is provided for our buildings, supporting their ongoing efforts to maintain and increase occupancy.

This position is headquartered in the corporate office of which business hours are Monday – Friday 8:00am-5:00pm.Qualifications and Required Experience for Weekend Receptionist:Two years minimum experience in administrative duties.Excellent communication skills and a compassion for older adults.Competency in Microsoft Office Suite.Must possess and maintain a valid driver’s license and current auto insurance.Primary Responsibilities for Weekend Receptionist:Answer the phones and distribute transfers and messages accordingly.Greet people when they come into the office and provide beverage options.Open the office each morning by turning on all necessary machines (copiers, postage meter, lights, etc.), prepare coffee.Maintain and update office staff birthday and phone lists.Distribute faxes that come in throughout the day and call for Fedex pickups when necessary.Ensure that the kitchen, lunchroom, lobby and conference room are kept clean throughout the day.Keep the office well stocked including paper in copy and fax machines, envelopes, fridge if necessary, etc.Order supplies from Staples and National Wholesale Printing Corporation.Ensure the mail machine has mailing labels and ink.Create and maintain address labels for all properties.Call and schedule repairs for the copiers and other office equipment as needed.Pick up lunch and run errands as needed (gas provided as needed).Prepare office for meetings when needed including copying materials for meeting attendees and setting up teleconferencing and screen usage.

Also, clean up the conference room immediately after meetings.Oversee conference room and conference call scheduling.Help any office staff with special projects as needed.Make travel arrangements as needed for corporate staff.Order catering for all meetings and staff events.Edit, share, print and send rate sheets to each building by the first of every month.

Also print floor plans and other flyers at building’s request.Assist with compilation, printing and binding of investor packages.Arrange for office maintenance and repairs as needed.Manage the corporate office phone system and provide tutorials to new phone users.Company Overview:American House Senior Living CommunitiesFounded in 1979, American House Senior Living Communities’ vision is to provide high-quality housing for senior at a price affordable for retirees and their families.
