Primary Objective of Position:
The Administrative Support Coordinator is responsible for the administrative and customer service tasks of TruDiagnostic Inc.
In this position, one can expect to conduct research, create reports/spreadsheets, preparecorrespondence, handle information requests, and prepare agendas for meetings.
Other tasks may include scheduling of meetings, staff support, compiling a variety of informational and/or confidential materials for assigned meetings, records, proofreading documentation, screening calls, and ordering office supplies.
All tasks and duties must be completed in accordance and compliance with HIPAA guidelines, State and Federal laws, and current company policies and procedures.
Responsibilities:
– Act as the administrative support between the clients and TruDiagnostic Inc.
to ensure client satisfaction
– Lead for international distribution
– Undertake the tasks of receiving calls, take messages and routing correspondence
– Maintaining relationships with healthcare providers and profitable customers
– Handle requests and queries appropriately
– Provide administrative support to all TruDiagnostic Inc.
physicians and customers
– Coordinate appointments with TruDiagnostic Inc.
staff and physicians and customers
– Take dictation and minutes and accurately enter data into electronic medical record
– Monitor office supplies and research advantageous deals or suppliers
– Produce reports, follow up with clients as needed, assist in the accurate documentation of the patients care plan per concierge and providers direction
– Develop and carry out an efficient documentation and filing system, along with ensuring complete accuracy within the EMR
– Assisting management in monitoring and implementing selected departmental activities/duties
– Place order request for TruDiagnostic Inc.
customers and assist in billing and invoicing
– Create reports including but not limited to new account, order, and finance metrics, etc.
– Brainstorm ways to streamline the customer service process
– Stay current on the latest industry trends and techniques
– Perform other duties as assigned
Required Qualifications:
– Bachelor’s Degree in Communications, Healthcare, SCIENCE, Business or relevant field with at least 2+ years experience in an administrative position in a healthcare related field
– Experience working with physicians and patients in a customer service facing role
– Proven experience as an administrative assistant/office assistant, executive administrative assistant, or in another clerical position in a medical or healthcare related field
– Full comprehension of office management systems & procedures
– A general understanding of basic medical terminology and/or systems/processes
– Excellent knowledge of MS Office, Google Office Suite (Google Drive, Docs, etc.)
– Exemplary planning and time management skills
– Ability to multitask and prioritize daily workload
– High level verbal and written communications skills
– Discretion and confidentiality
Also looking for:
– Enthusiasm for scientific research and biotechnology
– particularly epigenetics and longevity.
– Experience in the Integrative Health, Medical Diagnostic, or Medical Research industries.
– Strong customer service skills and phone/video conferencing etiquette
– Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
– Very strong interpersonal skills and the ability to collaboratively build relationships with stakeholders, including staff, external partners, and others
– Demonstrated proactive approaches to problem solving with string decision making capability
– Highly versatile and resourceful team player, with the ability to also be extremely effective independently
