42 in Arizona’s Best Employers Job Summary This position reports to the Counseling Department which serves multiple functions including instructional support, student services, and numerous student success iniatives.

This position coordinates department projects, timelines, and communication including class schedule building, staffing, instructor evaluation coordination, front line communication with both residential and adjunct faculty, and budget and account management, purchasing and expense processing.

Essential Functions 30%
– Service support functions includes front desk receptionist duties, scheduling appoinments, student “intake”, and organize statistical data for review.

30%
– Instructional support funstions susch as processing class schedule building, classroom/room reservation, ordering textbooks, contacting adjuncts, finding subs, assist with faculty hiring/onboarding; sending communiques.

20%
– Assists with HCM, FMS, SIS functions; monitoring and ordering supplies inventory, monitors and tracks department budget and expenses, contacts vendors for purchase and delivery information, creates and monitors requisition information and invoices; retrieves and verifies information in SIS in accordance with established standards and guidelines.

10%
– Prepares and maintains routine and non-routine correspondence, reports, documents, records and files; manages documentation/record-keeping system in accordance with established standards and guidelines.

5%
– Updates and maintains schedules, calendars and related meeting materials including department meeting agendas and meetings minutes.

5%
– Project planning and implementation to include new adjunct training sessions, mental health awareness activities, workshops and other department projects.

Minimum Qualifications Associates Degree from a regionally accredited institution and one year of administrative office support or related experience.

or An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to succesfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications A.

General office/receptionist experience B.

Experience with Google Suite and/or Microsoft Suite for email, calendars, spreadsheets, correspondence and presentations C.

Excellent communication skills as evidenced in the cover letter and resume as demonstrated by applicant’s composition, grammar, spelling skills and attention to detail.
