No Position Purpose Provides leadership, direction, and support for the administrative and operating requirements of the Geisel School of Medicine’s Undergraduate Medical Education (UME) program and the Department of Medical Education. Partners with the Senior Associate Dean for Medical Education (SADME) and the Department of Medical Education Chair in reviewing strategic priorities, resource allocation and implementing applicable policies and procedures. Applies a thorough understanding of the principles and practices of financial management, human resource management, and organizational administration across the UME program and Department. In collaboration with the Chair, supports pre- and post-award grant administration, faculty promotion, and professional and personnel matters. Collaborates with Geisel Finance Office and other UME and Department colleagues to improve the efficiency and effectiveness of fiscal operations, including setting annual budgets and quarterly projections for the program in medical education and the Department. Quick Link https://searchjobs.dartmouth.edu/postings/58879 Key Accountabilities Description Strategic Planning and Operations Management * Partners with the SADME, Chair and other UME academic leaders to develop short-term operational plans and advance longer-term strategic planning efforts for the Undergraduate Medical Education (UME) program and the Department. * Partners with academic and administrative leadership across the UME organization(s) to identify priorities, develop policies, and implement procedures applicable to the UME program and the Department. * Partners with UME and Department leadership to establish strategic priorities and accompanying business plans for new and expanding programs. * Partners with the SADME, Chair, and other UME academic and administrative leaders to ensure consistent application of policy and practice, and support of services and programs across the UME program and Department. Percentage Of Time 20% Description Financial Management * In collaboration with local unit directors, develops and oversees operating budgets across UME (Admissions, Student Affairs, Financial Aid, Registrar, Anatomical Gift Program, Preclinical and Clinical Education, Department of Medical Education, UME Affairs, MD/MBA Program). * Analyzes on-going and planned departmental activities, available resources, anticipated fluctuations in funding and staffing and the short- and long-term financial needs of units. * Collaborates and advises the SADME, Department Chair, Directors, and faculty on budgetary matters, including processes for the allocation and reallocation of funding. * Provides oversight for all financial practices for UME and the Department, as well as the staff who provide accounting and administrative support for UME/the Department. * Reviews monthly financial reports and provides quarterly projections to Geisel Fiscal Office and offices and programs across the UME. * Provides oversight for the administration of teaching and leadership contracts with DHMC, WRJ VA, and other academic affiliates. Ensures that appropriate contracts are in place and executed for non-Dartmouth College employed faculty who participate in the UME program. * Creates fee structure for use of cadavers and the Sanborn Anatomy Laboratory within the Anatomical Gift Program and oversees billing for users. * Approves purchase orders and invoices of major expenditures in accordance with Dartmouth College signature authority policies. * Provides counsel on Dartmouth and sponsor policies to faculty/staff/students on issues such as allowable costs, charging mechanisms, capital equipment purchases and use of consultants. * Oversees financial reporting and updates to principal investigators as grants are awarded. Percentage Of Time 30% Description Personnel Administration * Provides primary oversight and serves as a resource for all staff (including UME unit directors) in the administration of HR-related policies, practices and procedures for UME and the Department. * Partners with and provides guidance/direction to local UME unit directors to ensure consistent application and administration of HR policies with respect to hiring practices, employee performance, equity reviews, promotions, etc. Works with unit directors and Chair on all matters with respect to hiring, supervising, training, professional development and evaluation for all UME and Department employees. * Serves as primary HR contact for UME and the Department with Geisel’s Deans Office and Dartmouth’s Office of Human Resources. * Advises faculty and staff on the application of personnel management policies on issues such as hiring, employee benefits, and employee performance. * Partners with the Chair and SADME, as applicable, to advance faculty recruitment packages and act as the primary department contact for faculty and staff recruitments. * Provides oversight for all payroll and DORR actions for UME and the Department. * In consultation with central Human Resources and Geisel Dean’s Office, facilitates resolution of personnel management issues within UME. * Ensures cross training of team members and accurate documentation of procedures to ensure adequate coverage, accurate and consistent information and timeliness. * Supervises staff within the UME Affairs Office * Directs staff to work cooperatively across UME units to support fluctuations in staffing and workload. * Encourages and fosters a positive team-oriented working environment through effective communications and management. Percentage Of Time 25% Description General Administration * Ensures UME and Department adherence to Dartmouth and Geisel fiscal, human resource and administrative policies and procedures. * Manages UME and Department space and equipment allocation. * Coordinates with Geisel Facilities office on office moves and other facility related issues. * Procures and oversees maintenance of equipment; sells/disposes of equipment no longer needed. * Interacts with representatives across Dartmouth College, Geisel, Dartmouth-Hitchcock, other academic institutions, and private foundations to provide information, seek clarification of requirements and collaborate on issues of mutual interest. * Responds to external requests for information. * Represents UME and the Department on College and Geisel committees and at other forums. * Collaborates with other Geisel Operation Directors to ensure UME and Department processes are aligned and efficient; reallocates resources when necessary.
