Administrative Assistant (Sales)

This is a Full-time position in Rockville, MD posted September 19, 2021.

JOB PURPOSE:

This position will require a highly organized, detail-oriented individual to coordinate the administrative activities of our Sales department while assisting with the daily activities as directed in coordination with other departments. This position will also provide support to our Production team providing administrative duties to include assisting with permits.

Duties and Responsibilities

  • Works independently and within a team on special projects. Prepares financial, statistical, narrative and / or other reports as requested by the SMS
  • Reconciles department invoices for approval and processing
  • Responsible for all department mail, ordering supplies, maintaining community, Sales Team contact roster, expense reports, etc.
  • Provides administrative support to the Sales Team as directed by the SMD
  • Supports Sales and Production department in various tasks related to sales
  • Answers and directs all office phone calls
  • Handles packages, assists with Sales events, meetings and marketing
  • Summarize and distribute Quality Reviews and reports
  • Coordinate the National Contracts Rebates program
  • Maintain and distribute production/purchasing procedures and updates
  • Coordinate production development meetings
  • Summarize and distribute production building times
  • Maintain Production Ladder
  • Assist with production and safety training
  • Other duties as apparent or assigned

QUALIFICATIONS:

Knowledge and Skills

  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple tasks
  •  Must have high level of interpersonal skills to handle sensitive and confidential situations.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint, Photoshop etc.)
  • Detail oriented and organized
  • Problem solving and research skills
  • Time Management skills a must!

Education and Work Experience

  • Bachelor’s degree preferred or combined high school and work experience equivalent
  • 1-3 years prior administrative office experience preferred previous homebuilding experience is preferred, but not required
