General Responsibilities Responsible for performing a variety of administrative and clerical duties that support the assigned department. Provides exceptional customer service in line with the HumanGood Mission. Essential Duties: Provides administrative support to the department by proactively offering assistance, ensuring supplies are fully stocked, assisting with coordination of meetings, placing phone calls, etc. Prepares thorough and accurate meeting minutes in a timely manner. Types correspondence, memos, forms, tables, reports, etc.; utilize Microsoft, Excel, email, and specialized departmental equipment/software to prepare documents as appropriate. Answers and places telephone calls; assists callers if possible or transfer calls to the proper individual or department; takes and delivers messages; greets and assists department visitors. Arranges meetings and conferences for supervisor, schedules appointments, makes travel and hotel arrangements, and maintains a schedule of supervisors commitments to avoid conflicts. Prepares materials for meetings in advance of meetings and ensures supervisor has all needed materials. Also ensures any AV equipment, refreshments and/or other supplies are set up and functioning properly. Reviews and processes department invoices. Ensures accuracy of invoice amounts and timeliness of processing. Creates and maintains databases as needed. Responds to inquiries relating to his/her particular area within given timeframes and established policy.
