Posting Identification # 2113053-134948 Job Responsibilities * Serves as staff assistant to the Deputy Director, providing consultation regarding matters which are often of a sensitive and/or controversial nature.* Coordinates the management of the division by assisting in the planning, development, and implementation of Department programs as related to division services.* Advises on the feasibility and impact of proposed procedures and operations.* Provides input into confidential and sensitive strategies of management analysis.* Initiates modifications as needed to reflect changing priorities, both programmatic and budgetary.* Interprets policy, procedures, and directives to division staff.* Serves as point of contact with Human Resources staff in the Office of Employee Services regarding the division’s personnel needs.* Reviews, tracks, and monitors all confidential personnel evaluations, operations, and procedures of the division.* Oversees and coordinates a tracking system that ensures that all employee evaluations are completed properly and in a timely manner.* Oversees and monitors corrective action plans for staff and provides technical assistance.
(Job Responsibilities continued) * Tracks and monitors Office of Inspector General (OIG) recommendations and implementation of OIG recommendations.* Provides assistance in the preparation of the annual budget by providing technical information regarding division headcount, vacancies to be filled, and transfers in and out of the division.* Exclusively maintains procedures and issues monthly reports from which spending plans are obtained.* Coordinates with the Deputy Director and Associate Deputy Directors the development and implementation of the divisional operational plans through the ongoing assessment, evaluation, and improvement of Licensing programs and other related services.* Provides assistance to the Deputy Director and Associate Deputy Directors in the assignment of projects to staff.* Maintains a tracking and follow-up system of work assignments.* Conducts a variety of special projects, often of a sensitive and/or controversial nature.* Provides input into conferences.* Develops factual and statistical reports and monitors information.
(Job Responsibilities continued) * Researches and analyzes detailed information.* Composes responses to communications on behalf of the Deputy Director and affixes Deputy Director’s signature to letters, memos, vouchers, certain personnel transactions, etc.* Reviews materials for appropriateness and compliance with Agency policies, rules, and procedures.* Receives, reviews, and tracks information regarding studies and special projects conducted or monitored by the division.* Monitors the accuracy of the division’s centralized data base index and library.* Reviews reports and plans to ensure they are accounted for in accordance with the division’s organizational plan.* Develops strong public relations by responding to requests from community officials and citizens throughout the state in a prompt, courteous, informed manner.* Aggregates data and findings from relevant reviews and studies for presentation to internal units and external DCFS divisions.* Attends various meetings as assigned.* Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Knowledge, Skills, and Abilities * Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.* Requires two years of professional experience in a public or private organization.
