Administrative Assistant – Direct Hire Job is in Coppell, TX Successful and growing company in Coppell has an immediate opening for a sharp Bilingual Administrative Assistant who is organized, analytical, has exceptional communication and problem-solving skills that can handle office duties and admin-related operations with a can-do attitude.

This position will field external and internal communications, coordinate internal travel, perform office tasks, and oversee administrative tasks for the sales branch.

This is a front-office position that requires candidates that are committed to providing attentive support for internal and external parties and be skilled at various office tasks.

The ideal candidate is courteous, proactive, well-organized, professional, and can bring creative solutions to administrative problems.

· Welcome visitors at the front desk by greeting, directing, and announcing them appropriately.

· Coordinate meeting space, meals, and hotels for visitors as part of our goal to delight customers.

· Answer, screen, and take messages/forward incoming phone calls in a professional manner to the appropriate person or department.

· Assist with the coordination of trade shows, meetings, and conferences.

· Coordinate and track staff travel including air, hotel, and transportation.

· Coordinate maintenance and cleaning of the office and ensure visitor areas are tidy and presentable.

· Maintain records for staff office space, phones, parking, company credit cards and office keys.

· Research and prepare purchase requisitions for office supplies and basic office equipment.

· Receive, sort, and distribute the daily USPS mail, UPS, and FedEx packages.

· Perform general clerical duties such as photocopying, faxing, mailing, and filing.

· Deposit checks daily, either electronically or in person at the bank.

· Assist company team members with administrative tasks and project-based work.

· Daily spares invoicing Job Requirements: Skills, Education & Experience Required:
· Candidates must have at least 5 years of RECENT experience in Office Administration
· Must have recent experience doing travel arrangements, expense reports and scheduling meeting and other events.

· Must have exceptional interpersonal, written, oral communication skills and a professional demeanor always
· Must have excellent computer skills and be able to navigate the internet to find the best deals
· Must be a problem solver, be able to analyze processes and continuously improve efficiencies
· Meticulous approach to administrative tasks, strong time, and task management skills
· Bi-lingual in Spanish/English desirable
· Able to work autonomously and as part of a team
· Solid basic math skills, knowledge of finance and accounting basics
· Ability to learn new skills and adapt to new challenges
· Ability to maintain highest confidentiality regarding certain aspects of the job.

· All candidates are required to have a High school diploma or equivalent, Associate Degree preferred
