Lee Chamberlin Consultant Engineers

This is a Full-time position in Urbandale, IA posted December 3, 2021.

LEE Chamberlin Consultant Engineers is looking for an administrative assistant whose primary job is to manage, maintain, and assist with the administrative tasks in our office.

The position will also include receptionist job duties such as answering phones, greeting people to the office, and providing customer service for our clients.

Qualifications for this position include knowledge and understanding of bookkeeping, proficient experience in Quickbooks and Microsoft Office, excellent communication and interpersonal skills, and demonstrated track record of successful past job employment.

Our company is a full-service civil engineering and land surveying firm that provides comprehensive planning, design, and construction services to a wide variety of clients in both the public and private sectors.

We implement a centralized project approach where we work with our clients through every step of the process from land and title surveys to construction administration.

Operating out of Central Iowa, we have over 25 years of experience completing an assortment of projects from small-scale road grading and paving improvements to large scale housing developments.

Essential Duties and Responsibilities:
Maintain calendar, administrative files (project files, payables, etc.), and monitor office supplies and maintenance
Monitor and pay invoices
Balance/Reconcile QuickBooks and bank accounts
Keep accurate accounting of bank balance
Review monthly payables for correct distribution account and end of year reconciliation by accountant
Monthly tasks: update yearly budget vs.

actual expenditure
Track renewal dates for various annual software subscription or other yearly expense, schedule payable appropriately
Audit payables for accuracy; charges, credits
Retain time sheets for billable hours
Prepare invoices for previous month billable hours
Keep track of reimbursable/passthrough to add to each project invoice
Receivable accounting in QuickBooks
Maintain monthly files of paid invoices for quick access/reference
Payroll, Bi-weekly
Review time sheets and prepare payroll documents including checks
Prepare quarterly state and federal tax statements and payments

Reception job duties: answering incoming calls, address or refer to appropriate person; greet visitors; provide customer service support as necessary; receive, sort and distribute mail
Maintain employee personnel files
Keep track of employee vacation, sick time
Assist in new employee coordination as requested
Coordinate Health, Dental, and Vision insurance coverage for employees (as applicable) per Offer of Employment
Keep up to date regarding insurance rates for employee information
Update employee of any changes regarding coverage and/or rare changes, coordinate with Accountant to adjust payroll deduct if necessary
